The client is a Japanese liner company with affiliates in Africa, Asia, Europe. They are into the business of shipping and transportation of goods across continents. JOB DESCRIPTION The Regional Management Assistant will have the responsibility to provide timely and accurate administrative and secretarial services to the Regional general manager, the Regional Management team and the organisation, ensuring consistency with Company guidelines. The position is based in Abidjan. RESPONSIBILITIES The responsibilities for this office shall include but is not limited to the following: - Provide secretarial and administrative services to the Regional General Manager (RGM) and Regional Management Team. - Provide support with PowerPoint presentations, letters to vendors and customers, Excel files, consolidating data from vendors. - Manage time effectively to meet team targets and achieve personal objectives in adherence to Company values and policies. - Manage incoming and outgoing correspondence and communication for the RGM and Regional Management Team. - Involvement in diary, e-mail management, producing/circulating minutes for management team meetings as agreed with RGM and the Regional Management Team. - Support Management Team in internal communication with staff and external communication with customers, vendors and Agents. - Help the work councils in their research (where applicable). - Provide an efficient support service to the Regional Management Team, including travel planning, negotiation of corporate rates with hotels, management of meeting arrangements/agendas, production of presentations and meeting paperwork etc. - Act as business events organiser in a creative way and anticipate any issue linked to it. - Contribute to a continuous development of the organisation’s processes and output. - Act as point of contact for staff towards the Regional Management Team. - Coordinate the issuing of company newsletters. - Maintain information on Company intranet sites. - Act as point of contact on behalf of the RGM and Regional Management Team for client / supplier meetings etc. - Present a professional and reliable image of the company to outside parties. - Act as business events organiser in a creative way and anticipate any issues linked to it. REQUIREMENTS - 4/5 years’ experience - Bachelor’s degree at a minimum - Must have high integrity - Ability to relate effectively to people at all levels - Good verbal and written communications skills (English and French) - Must be assertive and have the ability to multi task - Ability to deliver work to tight deadlines - Ability to monitor and control work activities of others Pour postuler, envoyer CV et LM a p.mpakou@adexen
