Position: Cervical Cancer Programme Coordinator Location: Right to Care- Helen Joseph Hospital Johannesburg Reporting to: Cervical Cancer Programme Manager Qualifications & Experience: • Diploma of Administration or project managemen • Proficiency in spoken and written English • Computer literacy, including all MS Office programmes • Basic programme management experience • Experience in assisting managing health clinics Technical & Behavioural Competencies Required: • Organising & Planning • Problem solving skills • Good people/interpersonal skills • Attention to detail and good follow up skills • Respect for patient confidentiality • Budget confidentiality • Proficiency in verbal & written English • Computer Literacy and all MS Programmes Key Performance Areas among others include: Implementation • Liaise with other departments and other implementation sites/clinics Send emails to entire cervical cancer team at the end of the month for the monthly statistics • Compile monthly report of all cervical cancer sites stats, file hard copy of stats • Compile monthly report to management – for Barbara & Pappie • Attend Implementation Meetings • Coordinating with Logistics Coordinator for travel and accommodation of all site visits, conferences, training • Assist with Site visit dates and maintain roster of site visits • Liaise and Follow-up with Finance department for development of FPD invoices Budgeting / Finance • Assist with annual strategic plan of Cervical Cancer department for USAID • Assist with compiling of annual budget for cervical cancer department to be submitted to management accounting department (USAID) • Assist with compiling budgets for all other cervical cancer grants • A working knowledge of grant documents and ensuring compliance to all regulations and grant contracts are adhered to Staff Related • Ensure all staff are compliant with the necessary study requirements (GCP, OHRP, MPS, HPCSA, SANCA) • Check timesheets of staff, sort out clocking issues with HR. Advise manager when to certify including manual timesheet for consultants, issue payslips & IRP5. • Assist consultants with renewal of their contracts • Assist consultants with any HR related matters • Assist programme manager with the uploading of performance appraisals • Orientation of all new staff joining the department (Also assist HR arranging stationery, T-shirt, name tag, computers) • Assist off-site staff with their payslips & leave where necessary (esp Alice Rikhotso) • Assist off-site staff with HR related matters • Assist HR and cervical cancer staff with updating job description. • Assist unit manager with performance evaluations and upload in laborite system. Personal Assistant duties and general admin • Personal Assistant duties to Programme Manager - Arranging of meetings (venue, catering) - Assist doctors with Editing of Power Point posters/ presentations - Compiling documents/reports needed for meetings - Organising / maintaining program manager’s diary - Filing - Printing • Assist with project time sheets for unit doctors Coordination of procurement cycle • Ordering of stationery, all medical supplies, all medical equipment Ensuring delivery of all procurement (via courier or collection) • Attend to payment of all invoices (submit pay requisitions, FU payments & send proof of payment to suppliers) • Make up parcels of order as requested, send via courier with Acknowledgement of receipt list, load order on procurement log • TLC staff fill in procurement log in cupboards, advise Programme Coordinator when last item has been taken • Destroy any expired items – update on procurement log accordingly • Maintain an asset log and distribution list of all cervical cancer assets.
