This weeks update: I asked everyone to respond by noon today. Many thanks to those of you who met that ambitious deadline. Of the 15 workgroup members, I received two comments from students and three from staff. The student issues mostly pertained to the policy of continuing to prohibit food in the classrooms (they want the opportunity to have food in the rooms), and how a penalty would be enforced: against the individual or the chartered student organization (it would be enforced against the chartered student organization). Two of the staff comments were supportive of this beginning effort. The last staff comment was shared with all of you. So let me share my response with all of you. This is a starting pointing for resolving the problems we have experienced lately in the six Klaus classrooms. We have more work to do, but we wanted to make it possible to protect the classrooms for formal instruction while making it possible sooner rather than later for chartered student organizations to use the rooms for student meetings and events. The proposed policy is a change: no individual students will be able to reserve the rooms – only authorized students on behalf of chartered student organizations will be able to reserve the six classrooms in Klaus. This will improve the accountability for room use. We will base enforcement of policy violations on what we hear from Klaus Building staff, from GTPD (who will continue to write detailed incident reports on all incidents to which they are called), from faculty who are teaching in the Klaus classrooms – and from students. CPSM will follow up on any notice we receive on violations of classroom use policies, and we will review the incident information with GTPD and other involved individuals before determining whether a violation occurred. If it is determined that a violation occurred, CPSM will enforce the penalty by preventing that chartered student organization from (1) using any of the Klaus classrooms for which they have an approved reservation and (2) making future reservations for using the Klaus classrooms for the remainder of the semester or 16 weeks, whichever is greater. We want the chartered student organization’s leadership to share in seeing the rooms are returned to their original condition and to follow the policies. CPSM can and will enforce this policy so that the majority of charted student organizations that follow the policy can have the opportunity to reserve and use these rooms. Otherwise, we would need to continue to keep them offline while we work on the harder issues. There is a clear expectation from CPSM that the next three weeks will be a trial period to observe how the Klaus classrooms are being used. It is precisely because we do not have the staff resources in place in Klaus right now that we are asking the chartered student organizations to “step up” and help us get these classrooms back into the pool for student meetings and events. Staff in CPSM are the approvers of student requests to use these classrooms, and we will be vigilant over the next several weeks to be sure reservations and classroom use meet our expectations for responsible use. Student leadership is part of the solution. Based on all that I have heard from five of the workgroup members, I believe we should will be able to put these classrooms back online effective September 29, 2014. CPSM will contact Kelly Cross in the Office of Leadership and Civic Engagement to disseminate this information – and the revised policy.
