AITs transition to a new Infrastructure Management: Message from AITs Interim President _________________________________________ Dear Members of the Community, Over the past 5 years, AIT has outsourced its integrated infrastructure management to a professional infrastructure management company (Sodexo), including maintenance of its campus facilities, management of AIT Assets, and campus services to the community. The present contract is scheduled to expire soon on 30 June 2014. Under the direction of AIT’s Executive Committee, the Administration was requested to find an alternative model. Thus, I have appointed a Standing Committee on Management of Assets and Facilities (SCOMAF) chaired by Dr. Noppadol Phienwej, to study and propose a suitable model for AIT, considering AIT’s limited resources to invest and the need to control the size of personnel on non-core business. The SCOMAF recommended that the tasks currently performed by Sodexo can be partly handled in-house, and partly contracted to outside specialists. The following decisions have finally been made: The current outsourcing model of Integrated Infrastructure Management to one party shall be replaced by a mixture of Outside Professional Services and In-house Operations for (1) Campus Maintenance, (2) Asset Management, and (3) Campus Services. The criteria in favor of contracting Outside Professional Service to an In-house Operation are (1) heavy investment in equipment and non-core specialists, and/or (2) labor intensive. Thus, all campus maintenance activities are contracted to outside professionals, including (1) Technical Maintenance, (2) Ground Maintenance and Landscape, (3) Security, (4) Janitorial Services, (5) Pest Control, and (6) Waste Water Treatment. Assets to be managed in-house are (1) Accommodation, (2) Cafeteria, and (3) AIT Arcade, shops, and Kiosks. AIT Conference Center will be contracted to a Management Service Provider, who shall provide the full team of personnel to manage the hotel rooms, function rooms and dining room. All campus services will be managed in-house, including (1) Call Centers, (2) Motor/Labor Pool, and (3) Reception/Mail/Phone. With this new model, a new office namely ‘Office of Facilities and Assets Management (OFAM)’ will be set up effectively on 1 July 2014, with responsibility to ensure a standard set of KPIs for (1) Campus Maintenance, (2) Asset Management, (3) Campus Services, per the attached organogram which was recently approved by the Management Team of AIT. Based on the above concept, AIT has called for the interest of outside parties to participate in AIT’s bidding process to provide professional services. The process is about to be finalized, with contracts to be signed with all bid winning parties soon. Meanwhile, the current Office of Contract Management (CMO), which will become defunct after 30 June 2014, is working hard on its plan to ensure a smooth transition after 30 June 2014. We are very much thankful to Sodexo and its key staff for their highest professionalism in performing their responsibilities until the very last days of contract, and in their fullest cooperation to hand over on-going tasks to new service providers almost seemlessly. Thus I would like to take the opportunity to request AIT Community for your kind understanding and your cooperation. Meanwhile, please take notes of the following: Transition from Sodexo to new Service Providers on Technical Maintenance and Landscape Services may be a challenge for a few months before things become normal. Then I really expect to see some improvement to our campus. The AIT Main Cafeteria will be closed for about one month after July 1, as the space needs to be renovated and remodeled into a modern “AIT Food Court” with variety of international cuisines. Electronic cash card system will be adopted here. In addition, Faculty, staff and students can use their new ID Cards as electronic purse for spending in the Food Court. After that, SU Snack Bar (selling South Asian foods) will also be converted and integrated into the AIT Food Court. Brand new split-type air-conditioners will be installed at all hotel rooms in AITCC. The interiors of AITCC hotel rooms will also be renovated gradually, starting from the new wing. We should see a smooth transition of AITCC services as the bid winning company is owned by a former manager of AITCC. It should be a seamless transition for Security, Janitorial Services, Pest Control and Laundry.
