Administrative Assistant (Part-time): Details: Position title: Administrative Assistant Reports to: Office Manager, Michiana Functional area: Sales and Distribution Position summary Support the sales efforts of the Everence office in Michiana. Provide clerical, administrative supportand sales assistance to designated advisors. Deliver excellent customer service to current policyholders, members, prospects, and staff. Responsibilities and duties Become proficient using the Everence client database system (CRM) to effectively manage ongoing client data and office processes. Acquire and maintain a strong working knowledge of all insurance products and the systems for processing workflow. Support the sales efforts of designated Representatives and Advisors. Attend scheduled team meetings as required. Effectively manage customer inquiries and questions regarding various products and services, specificallyproviding customer service to the senior health clients. Prepare product materials and assemble additional forms needed for appointments or mailings. Prepare application forms using an automated forms system (LaserApp) or the Everence Document Library. Process and forward applications to appropriate departments and/or companies. Monitor pending policies and maintain a status spreadsheet. Prepare issued policies for mailing with a cover letter. Prepare correspondence as needed. Submit communications (i.e. letters, Campaign Monitor distributions, collateral materials, presentation content, etc.) to AdTrax for compliance as needed. Stay current with announcements posted daily on all product websites. Prepare various client reports and new client folders. Set up and maintain client files in hard copy, database management system, and scanning system. Answer phone calls, and completefollow-up calls as instructed by the Representatives and Advisors. Handle marketing and mailing projects as needed. Support the insurance Representatives and Advisors with their seminars, including marketing/promotion, maintaining seminar supplies, and collecting prospective client data. Assist with other projects as assigned. Qualifications Self-starter (take initiative) with the ability to work in a fast-paced environment and be flexible to changing demands. Sensitivity to the confidentiality of information. Ability to handle multiple tasksand interruptions with efficiency, calmness, and courtesy. Strong attention to detail. Willingly embraces and supports the mission of Everence; positive attitude. Ability to handle difficult situations with tact and diplomacy. Prior experience in financial services and/or insurance industry desired. Minimum of two years administrative support experience preferred, including proficiency in using Microsoft Office software. Must be licensed in the State of Indiana for life, accident, and health insurance. Ability to exercise good judgment; problem solving. Must have experience or aptitude to learn PC-based software programs. Excellent communication skills including both written and verbal; good grammar and spelling skills. Ability to meet the public in a professional and friendly manner. Prefer at least two years of college or specialized training.
