Bookkeeper/Admin Clerk: Caritas Zimbabwe Deadline: 25 March 2014 Duty Station - Nyanga town Duration - three years to December 2016 General objective of the position To assist administratively, financially and logistically in the Finance and Admin office for the EC Nyanga Urban & Peri Urban Program. To support the finance and admin Office in the fulfilment of their responsibilities. Reports to Finance and Admin Head - Caritas Mutare Head office. Specific objectives Ensuring that all offices are clean and secure during working hours and before knock of time; To assist in the raising of cash payment request vouchers, vehicle request vouchers, purchases requisitions for the program; To assist in the raising of orders for any purchases requests; To follow up on orders submitted, receive goods for the programs, ensure safe custody and assist in despatching them to program officers; To keep records of documentation of vehicles of the office(s); To ensure that all program vehicles have got log books and check them regularly; To carry out all the processes for the procurement and supply of daily office necessities and the purchasing of small items; Be responsible for the daily handling of cash for the Nyanga office in strict accordance with Caritas Guidelines; Ensure that all payments, purchases and service requests are properly initiated, documented, approved and authorized by management before payment is made; Responsible for entering financial information into account record books and maintaining all financial records for projects and for the organization; Monitor the daily expenditures to ensure that program funds are utilized appropriately by program officers and any potential deviations be discussed with the responsible budget holder; Ensuring that the project bank account is reconciled monthly and submitted to the Finance Head by the 2nd of every month; Initiate all admin related expenditures for payments i.e. water, electricity, telephone or communications expenses as well as procurement of admin assets in accordance with Caritas logistics guidelines; Ensure that all financial reporting is completed on time and submitted to management; With assistance of Finance head, oversee the financial audit of the project; Provide financial inputs for proposal development, project management; Assist in managing financial controls, prepare and analyze budgets, develop financial reports, and make recommendations to the organization on budget expenditures; Performing any other duties as may be assigned by Caritas Zimbabwe - Mutare Management. Qualifications - Diploma in Accounts and any other admin or secretarial qualifications - Fluent in English and relevant local languages - At least three years of working experience in the accounting & logistic support preferably in the humanitarian sector - Experience with relevant computer software packages (Word, Excel, Pastel Accounting a must) - Communicative, systematic, accurate, and open To apply Please email CV to: jobsatcaritas@gmail
