Boys & Girls Club Membership Specialist II (part-time) Zion Elementary School District 6 - Zion, IL Part-time, Contract Work Hours: 2:30pm to 6:30pm, Tuesday through Friday Hourly Rate Range: $8.25 - $13.00 per hour Boys & Girls Club of Lake County Title: Membership Specialist II Non-Exempt Reports to: Program Director/Unit Manager Position Description Primary Function: The Membership Specialist II includes the same primary responsibilities as Membership Specialist I which include but are not limited to greeting members by name and checking-in members into the online database, making sure they are taking attendance appropriately. This position also assures that all members and guests adhere to registration procedures on a daily basis; oversees the replacement of lost Club cards and invoicing of membership dues and/or activity fees; will answer phones, take messages, provide callers with information, and track membership program participation; maintain order in the front desk/lobby area; and provide quality customer service to all members, guests and parents. The Membership Specialist II, will oversee attendance and files for fulfill grant requirements, audit files and the KidTrax system to ensure accurate data and provide administrative support. This position reports to the Program Director when completing tasks relating to Outcome Measurements & Indicators and grant requirements and reports to the Unit Manager for daily operation responsibilities. Specific Responsibilities: Greet all visitors, guests and volunteers and have them sign into the guest book and obtain a name badge. Answer the Club phone by the third ring and greet the caller Thank You for Calling the Boys & Girls Club of Lake County how may I help you. Effectively use and work in the Membership Tracking System to enter new member applications and create reports; enter program attendance on a daily basis. Audit Club member files on a bi-monthly basis to ensure accurate data is entered into the Membership Tracing System. Ensure grant requirements are being met regarding Club member files and attendance. Log-in each member as they enter the Club, buzz them in and greet them by name. If recognition is not made, do not grant access to enter but greet the individual(s) at the door. Log all members out as they leave the Club. Implement and enforce all Club rules and policies with the members. Collect and record all membership fees. Keep appropriate documentation for audit purposes. Create and maintain files for all membership applications. Update member contact information and data as provided in a timely manner. Create and print membership cards. Model and encourage positive and constructive behavior to all members. Participate in scheduled staff meetings and trainings. Actively promote the Club, services and programs, promotions and discounts. Handle guests questions and concerns professionally and courteously. Wear Name ID badge at all time while representing the Club and while on Club property and have the option of wearing a BGC shirt. Be aware of Club safety guidelines and first aid resources and procedures. Maintain a clean, safe, fully stocked and well organized work area. Be accountable for inventory and proper usage of office equipment and supplies. Provide clerical assistance for the Club as needed. Ensuring Club Members remain in designated areas and are not allowed in staff designated areas including staff offices, membership clerk area, janitorial closets or storage closets. Update and track Club site event calendar and parent communication boards including bulletin boards, marquee and any outdoor signage. Follow up with parents as needed for absenteeism, after five (5) days, or other Club matters, including special event needs and participation. Maintain pre/post- test results for programming. Enter accurate data for Outcome Measurements & Indicators. Audit online membership tracking system bi-monthly and update/fix any errors or anomalies. Additional Responsibilities: Ensure a team based work environment by communicating effectively and positively with supervisors, co-workers and volunteers. Maintain staff and Club member confidentiality. Make recommendations regarding member’s needs, program ideas, and facility needs. May be asked to participate in special programs and/or events. These events may be scheduled at times when the Club is not open. Perform other duties as assigned. Position Requirements: High School Diploma or GED. Ability to work scheduled hours. Experience working with youth ages 6-18. Ability to effectively operate a computer and programs used by the Club. Efficient typing and filing skills. Ability to operate office equipment. Strong verbal and written communications skills. Ability to motivate youth and manage behavior. The Membership Specialist II will be a part-time employee of the Boys & Girls Club of Lake County and could be hired on a contract basis only for the term of a grant funded program.
