COLD LAKE FIRST NATION Employment Opportunity JOB TITLE: RECEPTIONIST/FILE CLERK Division/Department: Health Services Department Location: Cold Lake First Nations JOB PURPOSE This position ensures the efficient day-to-day operation of the front desk and supports the work of management and other staff. This position will perform a variety of administrative duties as well as certain special projects as directed by the NIC, Nursing & Managers. DUTIES AND RESPONSIBILITIES 1) Act as receptionist to provide efficient and polite introductory service to the public by: • answering and making telephone calls to give or take information; • Greeting visitors and answer general questions. Refer clients/members to appropriate Staff. • assisting clients with booking medical appointments 3) Maintain office filing system 4) Supply typing and clerical service to the Health Services staff by: • completing monthly Health Center newsletter • updating the Facebook page for Health Center events • photocopying • maintain current affairs bulletin board • provide additional duties as requested by NIC, HD, and staff 4) Office security: • ensure front entrance door is unlocked and locked at the beginning and end of each day, also during lunch break • maintain the strictest level of confidentiality KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED QUALIFICATIONS: • The completion of a one or two-year college or other program for secretaries OR two years of clerical experience is required. • A well rounded knowledge of computer software including Microsoft Word, WordPerfect, Excel and Printmaster. • Knowledge of the Cold Lake First Nations culture, government, languages, and community dynamics is considered an asset. • Must have excellent communication, public relation skills and interpersonal skills. • Have strong personal and work references. • Must have a valid class 5 drivers license with an updated drivers abstract • REPORTING REQUIREMENTS: Technical and Functional supervision is provided by the Health Director. General supervision in the absence of the Health Director may be provided by the Nurse In Charge. WORKING CONDITIONS AND/OR PHYSICAL REQUIREMENTS Work is performed indoor and involves sitting for long periods of time. Verbal communications is conducted face to face and on the telephone. Incumbents read and comprehend written material and make references from the contents. A computer keyboard is used to enter and retrieve data and requires continuous or repetitive arm-hand movements. This assignment will include occasional evenings, holiday and/or weekend work. SALARY & BENEFITS Dependent Upon Education and Experience. Group Insurance/Benefits/Pension and employee entitlements upon completion of 3 month probationary period.
