POSTMARKS WILL NOT BE ACCEPTED. DESCRIPTION: The Department of Financial Management has an immediate opening for a permanent/full-time Secretary. This position supports the City Controller and City Treasurer, and reports to the Department’s Administrative Services Officer. This position requires a highly organized professional individual who thrives in a fast-paced work environment. Under general supervision, the Secretary performs difficult and complex secretarial and administrative tasks in support of the Bureau Managers and staff. EXAMPLES OF DUTIES: Type, edit and proofread a variety of letters, memoranda and complex reports; Schedule meetings, travel and training classes; Review outgoing correspondence and reports for procedural and grammatical accuracy; Assist the Bureau Managers in managing the Bureaus’ workflow; Review and route incoming and outgoing correspondence; Receive and direct telephone inquiries from the public and City staff; Provide back-up support to the Director of Financial Management, as necessary; Process Blanket Purchase Orders/Direct Purchase Orders for contracted services, as necessary; Maintain manuals and automated files; Maintain office equipment, maintenance agreements and office supplies; and Perform other related duties as required. REQUIREMENTS TO FILE: Five years of progressively responsible secretarial/clerical experience; Proficiency with a wide range of software, including MS Word, Excel and PowerPoint; Excellent written, oral and interpersonal communication skills; Strong organizational and time management skills; Ability to work independently with minimal supervision and exercise sound judgment and critical thinking skills; Ability to work within deadlines, and manage multiple assignments and priorities; Professional attitude, good judgment, patience and ability to positively interact with the general public and employees at all levels; Proficiency with Lotus Notes (Mail, Calendar) and FAMIS/ADPICS is highly desirable; AA degree is highly desirable; and, Notary Public preferred.
