Contract Management senior officer Zain The jobs in this level are responsible for performing contract activities for routine product, process purchase requisitions issuing purchase orders ensuring best quality and price as well as timely delivery to end users • Understand Technology strategy and plans and participate in the achievement of objectives and targets • Implement Technology policies and procedures • Maintain information libraries where needed, identify new sources of information, respond to ad hoc requests for data, information or analysis • Prepare and periodically update a database of available, approved and rejected suppliers for future referencing • Interface with requestors from different vendors, obtains details on Purchase Requests, including item description, quantity, need by date and delivery location providing catalogs as necessary • Issue the Purchase Requisitions specific criteria, set policies and SLA; ensure availability of funds and completion of approval cycle • Prepare POs and attaches all related documents including quotations, comparison sheets, contract, and emails for signatures • Contact vendors to follow up on the status of an order when necessary; keep the requestors informed • Revise and update the quality, price and technical specifications of purchased items regularly; ensuring competent quality execution of all regular purchasing duties and administrative work • Assign new codes for newly acquired items; provide the requestor and the item code officer with proper item description when requested • Handle customer and supplier complaints related to defects, shortages, missing parts and resolves them • Support completion of supplier yearly evaluation based on which the department will plan corrective and preventive measures and actions • Review and comment on Zain contracts with vendors for new contracts and renewal. • Work on and submit technical scope in respect to any new operational requirement for new contract agreement or service /equipment / tools to be purchased. • Inspect issues in any service related to a certain contract. • SLA vendor management ( Approve monthly certificate, Issue penalties, quarterly review for contractual SLA/KPIs, suggest new SLA to meet business demand). • Recommend penalties and bonuses for service providers based on the provided SLA level. (This for vendor management based on performance • End to End PR-PO management including ( PR issuance to be in line with Budget, Following up with buyer, PO announcement, PR-PO status database, Ensure the accurate reporting with stakeholders) • Invoices approval ( Check the right invoicing amount and the work achieved, Ensure all the required documents are submitted by vendor such as PAC, FAC, system log….etc, Get the required approval to proceed with vendor’s payment by procurement).
