Craeberne Forest Property Owners Association Board of Directors Meeting Minutes: May 27, 2014 Call to order: The regular meeting of the Craeberne Forest Board of Directors was held at 106 Bandon Drive, New Bern, North Carolina. The meeting was called to order by president Charles Barrett at 7:33 pm. Attending: Charles Barrett (President), Allen Gendreau (Vice-President), Marsha Fau (Secretary/Treasurer), Alan Snow (non-voting Assistant Secretary) Minutes: The minutes of the May 13, 2014 Board meeting were presented and accepted by unanimous vote. Treasurer’s Report. Marsha Fau presented the following: -Craeberne Forest checking account balance as of 4/30/14: $23,306.06 -Craeberne Forest savings account balance as of 4/30/14: 6,366.17 -Townhome checking account balance as of 4/30/14: 2,994.00 -Nine (9) POA members’ dues are past due for 2013. Following a lengthy discussion about how best to undertake the process to collect past due amounts, the Board voted unanimously to approve the following: 1. Marsha will draft a letter within the next few days to be mailed by the Board to each past due member requesting payment of all 2013 past due amounts by July 1, 2014. 2. Our attorney will send a demand letter to members who remain past due after July 1, 2014. The attorney’s fee to prepare and mail the letter will be paid with Craeberne Forest operating funds, and added to the past due member’s amount due for reimbursement to the operating funds. 3. The Board will file a lien against any member whose dues remain past due after the payment date specified in the attorney’s letter. Any fees associated with the filing the lien will be added to the past due amount. -Marsha will meet next week with representatives of Carr, Riggs, and Ingram, a local CPA firm, to continue discussions about possibly retaining them to provide timely and accurate Craeberne Forest POA financial statements. -The Board voted unanimously to accept the 4-30-14 Treasurer’s report. Old Business: -Web site development: The Board voted unanimously to indefinitely table the development of a new Craeberne Forest Web site. The existing Facebook page coupled with a newsletter that’s under development will support much of the community’s communication needs for the foreseeable future. -Decorations Committee: Citing unavoidable personal conflicts, Allen Gendreau informed the Board that he must step down as the committee’s chair. The Board will ask for volunteers via the Facebook page. -Drain pipe on Bandon: The pipe is no longer exposed; this issue is closed. -Complaint (110 Bandon): The boat in the driveway has been moved to an off-site storage location. The home owner’s mailbox sign has been approved by the ARB; this issue is closed. -Board member changes: Recent changes to the Board’s composition have been posted to the official Craeberne Forest Facebook page as part of the May 13, 2014 Board meeting minutes. No further action required. New Business: -Empty sign frames on Savoy: Allen will remove the empty sign frames and fill in the holes by 6/14/14. -Townhome Subcommittee: The Board will continue to request the formation of an official volunteer Subcommittee to manage the finances and day-to-day operations of the townhomes. A townhome Subcommittee will ensure that the townhome owners’ general and unique needs are properly represented. Alan Snow will draft a letter to be mailed to townhome owners asking them to form a new Subcommittee. The letter will explain that the Craeberne Forest BOD cannot indefinitely provide financial management and operational services to the townhomes because the bylaws do not provide for this. -Unauthorized vehicles: Someone has been illegally driving a truck or 4x4 in the ditch behind the homes on Bandon. Members are encouraged to contact the police if they see any vehicle on other than the community’s paved streets or designated parking areas. The Board will continue to monitor this situation. No further action at this time. -New issues tracking log: Alan offered to create a new log to help track and manage the wide range of inquiries, complaints, problems, requests, etc. that are received by the Board on an ongoing basis. The Board unanimously supported the log’s creation.
