Encouraging “Open” Communication To be a successful manager, it is important that your employees regard you as a source of information. A free flow of communication in the workplace will ensure that everyone is informed, and you’ll also be informed as to what’s happening with employees. An essential component of a productive workplace is the presence of open communication. Employees must be “in the know” about what will directly, or indirectly, impact them. In order to make information move freely: • Advise others of your intent to make pertinent information available • Provide requested and additional information to ensure a more global perspective • Outline alternative information resources that are available in your absence, such as a memo bulletin board, communication clipboard, or an email message. Listening is another part of the process; it is a companion to speaking and brings it full circle. Listening involves hearing and understanding the messages others are conveying, then confirming to the speaker that the message has been received and understood. Listening is more than hearing spoken words. It includes the mental processing of the entire information set or message. You may consider: • Listening for key ideas • Determining the basis of the information provided • Viewing the information conveyed from the speaker’s perspective When you are listening effectively, you process information, ask appropriate questions, refrain from constant interruption, keep an open mind, and most of all, pay close attention.
