HR assistant Needed at WFP The United Nations World Food Programme is looking for the services of a Human Resources Assistant with competencies listed below: Title: Human Resources Assistant Category: General Service Grade: G5 Contract Type: Fixed-Term Contract Duration: 12 months (renewable) Duty Station: Yaoundé Closing Application Date: 07 November 2014 Accountabilities: Under the direct supervision of the Sr Human Resources Assistant, and the overall supervision of the Country Director, the incumbent is generally responsible for the day to day Human Resources functions of the office. Extract and input data from various sources in the human resource database; Respond to human resources queries from staff in the unit and elsewhere in the Programme Assist in the recruitment of national and international staff Ensure that salary, overtime, hours of work, leave policy, entitlement, health insurance and detailed Terms of Reference and comprehensively included within the body of all Letters of Employment offers; Review supporting documentation for processing various actions; answer a variety of enquiries and supply readily available information from office files, databases, liaising with other offices as appropriate; Verify benefit and other human resources related claims for accuracy and conformance with personnel rules and regulations; Draft routine correspondence and initiate process for the preparation of all staff support documentation(identification cards, UN Laissez passer,...) Assist suppervisor(s) in monitoring the contratual status of all staff on various appointments based in immediate location or within the offices mandate; monitor within grade service increment schedules and ensure the timely preparation of issuance of contract renewals and personnel actions forms; Ensures that actions are reflected in WINGS2; Check and maintain attendance registers, leave reports and other forms and reports; check and maintain personnel files for all staff at location, ensuring all documentation is complete; maintain and update confidential personnel information and documents, and ensure relevant documents are kept in their respective files; Search for, retrieve, compile, assemble and archive a variety of human resources statistical data from computer files, records, reports or from other sources for external use; Collect and maintain information on commercial, private, and inter agency training schedules and institutions(course schedules, curricula, and cost); draft routine correspondence; arrange for briefings and debriefings and take notes at meetings; Ensure that UNDP and WFP issures human resource and personnel policy manuals, rules, regulations, guidelines, and circulars, are updated and filled regularly; Prepare monthly payroll for SSA and SC staff through PASport. Prepare statistical tables and periodic human resources reports. Perform other related duties as required. Expected Results With initiative and judgement produces organised, accurate and well documented records with well analysed data and addresses unforeseen situations seeking advice and guidance from supervisor, as necessary. May assign work to staff in lower grades. Critical Success Factors Abilitiy to review a variety of data, identify and adjust data discrepancies. Identify and resolve operational problems. Ability to communicate moderately complex matters clearly and concisely. Ability to perform detailed work, work of a confidential nature and/or to handle a large volume of work possibly under time constraints. Ability to deal patiently and tactfully with people of different national and cultural backgrounds. Minimum qualifications Education Secondary school education including or supplemented by courses related to the area of work. Experience At least four years of progressively responsible support or secretarial work experience including at least two years in the field of human resources or other related field and at least one year at the G4 level or equivalent. Knowledge Experience utilising computers, including word processing, spreadsheed and other WFP standard software packages and systems. General knowledge of UN system financial policies, rules, regulations and procedures Language Fluency in both oral and written communication in the UN language in use at the duty station and in the duty stations language, if different completed files(Letter of Motivation, Curriculum Vitae with references, Diplomas, etc.) should carry the post title on the sealed envelope marked confidential quoting VACANCY ANNOUNCEMENT011/C0/CMR/2014 Applications can be deposited at the WFP office in Yaoundé.
