JOB TITLE: Council Administrative Assistant Division/Department: Chief and Council Location: Cold Lake First Nations DUTIES AND RESPONSIBILITIES • Provides administrative and clerical support to Band Administrator, Chief and Council. • Making travel arrangements for and preparing itineraries on behalf of Chief and Council; • Scheduling of and agenda preparation for Council meetings (regular and Special); • Proofreading relevant documentation prior to distribution to intended audiences (such as Council, Band Administrator, Directors, external governments and agencies); • Providing minute taking services at Council Meetings and other functions as directed; • Maintaining records of Council Meetings; • Ensuring all Action Items and Resolutions arising from Council Meeting are conveyed to Administration staff and others, through the Band Administrator’s office and responsibly maintaining such items by personally monitoring, tracking, and reporting through to their completion; • Ensuring all policies, legislation, and key directives as approved by Council are properly documented and communicated to designated staff through the Band Administrator’s office; • Undertaking research, as directed, and preparing executive summaries for eventual consideration by Chief and Council; • Assisting to ensure all general office functions necessary for the efficient and effective operation of the Chief and Council’s offices are completed in a timely and professional manner; • Providing scheduling, agenda preparation, minute taking and distribution of Council meetings (regular and Special), with input from the respective Chairs of the Councils; • Coordinating venue, catering, supplies and logistics for meetings; • Making recommendations on changes or improvements to a Council administrative procedures and processes; • Promote effective communication between Chief and Council, and the administrative departments of the band communicated to designated staff through the Band Administrator’s office; • Assisting the Finance Manager with managing the Council budget; KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED • Diploma in Public Administration, or a related discipline. Alternatively, a combination of a Grade 12 completion coupled with minimum 2 years of Post-Secondary courses in Public Administration or a related discipline with 3-5 years of experience in providing administrative guidance to senior level management or managing boards and directors; • Good working knowledge of Cold Lake First Nations social structure, culture and traditions; • General knowledge of Cold Lake First Nations self-government and implementation agreements; • Experience in undertaking research and preparing executive summaries; • Proficiency utilizing the complete Microsoft Office Suite including Word, Excel, PowerPoint, Publisher as well as Internet research experience. • Efficient note and minute taking and transcribing. • Effective records maintenance/filing WORKING CONDITIONS AND/OR PHYSICAL REQUIREMENTS Office environment. 40 hours/week. Monday – Friday, 8:30 am – 4:30 pm. Overtime may be required from time to time. Repetitive movements (typing) & sitting/standing for long periods of time. SALARY & BENEFITS Dependent Upon Education and Experience. Group Insurance/Benefits/Pension and employee entitlements upon completion of 3 month probationary period.
