JOB TITLE: Finance Specialist JOB SUMMARY Vincennes University Logistics Training and Education Center (VU LTEC) is seeking a part-time Finance Specialist for a position located in Plainfield, Indiana. This support staff position responsibilities will include general administrative duties and managing all invoicing, payment processing and collection of student accounts related to the University’s Trade Adjustment Assistance Community College and Career Training (TAACCCT) grant from the United States Department of Labor, the Tractor Trailer Driver Training (TTDT) program and the Logistics program. This is a temporary position that will end September 30, 2015, but has the potential to extend based on program sustainability. ORGANIZATIONAL RELATIONSHIPS This position will report to the Logistics Grant Project Manager. This individual will interact with students, faculty, TAACCCT Grant Project Team, TTDT Training Team, Logistics Team, Vincennes University Controller and Student Financial Services offices. PRIMARY DUTIES (may include, but not limited to the following): Manage all invoicing, payment processing and billing related to student and customer accounts in a timely manner. Responsible for accurate entry of student and financial records; monitor accounts on a regular basis. Responsible for completing requisitions, purchase orders and receiving on items purchased; follow-up with vendors to resolve issues or questions. Enter and prepare monthly journal entries related to billing into the financial reporting system; prepare monthly revenue reports that are utilized by Program Director and Grant Project Manager. Communicate with Grant Project Team and Controller office on updates, questions or issues. Coordinate VU LTEC building activities, schedules, messages, etc. Be present at the front desk for welcoming students and other guests to the building; responsible for main telephone line Perform administrative functions, such as data entry, filing, etc. Be first point of contact for initial inquiries for the TAACCCT programs or TTDT Program. Keeps timely and accurate time distribution reports on grant and non-grant duties performed. Performs other duties as assigned. EDUCATION & EXPERIENCE The Finance Specialist will have an Associate degree from a college or university (preferred) or High School diploma or equivalent with three to five years fiscal related experience and/or training; or equivalent combination of education and/or experience. Applicants should have successful experience performing billing and payment processing. The qualified candidate will possess skills in written and oral communication, extreme attention to detail, knowledge of generally accepted accounting principles, math and Microsoft Office (Word, Excel, Access). Familiarity with grants preferred. Must have the ability to take initiative and have superior organizational skills. PHYSICAL DEMANDS While performing the duties of this job, the employee is occasionally required to stand, walk, sit, and use hands to handle objects, tools or controls, reach with arms, and climb stairs.
