Job Description Position:Office Clerk Duty Station: Amman. About Première Urgence - Aide Médicale Internationale (PU-AMI) Première Urgence - Aide Médicale Internationale is a Non-Governmental Humanitarian Organization, non-profit, apolitical and non-religious. Its entire staff is mobilized daily to cover the basic needs of civilian victims endangered, marginalized or excluded by the effects of natural disasters, wars and situations of economic collapse by allowing them to recover their autonomy and dignity. PU-AMI is based in 21 countries across Africa, Asia, the Middle East, the Caucasus and the Caribbean, and operates in the areas of food security, health, nutrition, rehabilitation of infrastructure, water and sanitation and economic recovery. PU-AMI is currently operating in Jordan in providing humanitarian assistance to the communities affected by the presence of vulnerable Syrians. The sectors interested by PU-AMI intervention are shelter, cash, protection, health and community services. General conditions of employment The employee shall abide to this job description, his/her employment contract well as any rules, regulations, internal policy that may be adopted by PU-AMI Jordan. Work relationship Under the direct supervision of: M&E officer Supervise: n/a Indirectly: n/a In direct cooperation with: All employees and external visitors General objective The Office Clerk is responsible for receiving the calls of the hotline and the office line and for welcoming all the people at PU-AMI premise. He / She is also responsible for the correct and timely computerization of all data collected at field level by the project staff. In charge of the Hotline To answer the hotline calls and the office main line calls. To guide beneficiaries and provide them with accurate information on referrals, PU-AMI activities and accurate information on services available. Follow-up on beneficiaries’ inquiries not immediately resolved with coordination with M&E dept. To provide support to M&E dept. in conducting phone calls for data verification. To analyze each case to provide the callers with the relevant information or refer them to the staff in charge when needed. To communicate the case to the relevant person in charge in a synthetic and coherent way. To fill the Internal Referral Logbook with accurate data when needed. Receptionist To welcome all guests visiting the office with a professional attitude. To know and update the internal and external contact lists To centralize the internal attendance sheet To welcome any visitors in a professional manner Data Entry To translate data from Arabic to English and from English to Arabic (if needed) To ensure timely and correct data entry of the Phone/Visits logbook in the database To support data entry activities when requested To support the M&E department with the data analysis To record and analyze of the Hotline data entry. The tasks and responsibilities defined in this job description are not exhaustive and can evolve depending on the project needs. Mandatory requirements Language Skills: Fluent in English and Arabic, (speaking/reading/writing). Education Degree : University degree or Technical diploma in a Social Sciences field. Work experience: Experience in NGOs / Private Sector Computer Skills oExcellent knowledge of Word, Excel and Access (Data Manipulation and Report generation) oVery Good Typing Skills Assets Other knowledge : Acquaintance with INGO rules, procedures and regulations Interest: Work in relief, interest for refugees issues Transversal skills oHonest and trustworthy oReliable, rigorous and well organized oAble to manage priorities, take initiatives and work without constant supervision Please send your CVs on: [email protected]
