ORGANIZATION TYPE: Health Association LOCATION: Alexandria, VA POSITION TITLE: Administrative Specialist, Programs SCHEDULE: Full-time DURATION: Temp-to-perm HOURLY WAGE: $15.30-$16.75 per hour POSITION OVERVIEW: The Administrative Specialist, Programs assists the director in determining and directing strategies and plans for the department, in the development and operations of the associations advocacy program for its members with health insurers, purchasers, employer coalitions and benefit consulting firms. This includes process development and assistance with the management of our volunteer committee, budgeting assistance and report development. This role provides administrative support to the department, and will oversee selected projects and committee activities. This position is largely administrative. POSITION RESPONSIBILITIES: Provides direct, day-to-day administrative support to program director and associate director Manages budgets, participates in budget development, and creates reports for the program director and CFO; responsible for accurate coding of activities Assists director, associate director and committee members with projects, meetings, travel and events coordination Processes incoming and outgoing mail and travel & expense reimbursement forms for staff and committee Plans, schedules and tracks project milestones, goals, and performance metrics to ensure progress is being made on assigned projects Develops, reviews, and edits process documents and reports and procedural/operational manuals; assists in the collection of performance metrics and goals and develops analysis and reports for the program Organizes and updates the programs portion of the website and Intranet site Manages web-based collaborative project management, communication and document sharing site Supports administration of social networking site Coordinates and maintains up-to-date contact and advocacy information in the programs issue and advocacy tracking database; train news users to anvigate the database Develops and prepares reports, letters, group emails, and memos in response to requests from the Board of Trustees, staff, members, the public and the media Manages inquires from members, directs to the most appropriate staff person Communicates with committees, project teams, affiliated associations, and association staff regarding projects, meetings, and deadlines Proofreads and edits materials as needed May be asked to manage selected projects from beginning to end ESSENTIAL SKILLS AND EDUCATION/EXPERIENCE: Bachelors degree required 4-5 years experience in administrative support and program management required Program development and administrative experience required Experience working for a healthcare organization and/or familiarity with health insurance industry is preferred Experience developing and managing budgets required Familiarity with database management system preferred; ability to learn new systems quickly Must be proficient in Microsoft Office Suite (especially Excel and Access) Must be effective communicator, able to write and present information clearly and concisely Must be able to handle high periods of stress; able to work with limited supervision Strong time management skills required Must take pride in customer and member services Works well in a small department Are you the next CNPer of the Month?
