Disability Rights California will provide on-the-job training for this position, as well as ongoing training opportunities. JOB RESPONSIBILITIES: 1. Provide translation/interpretation in Spanish for clients and for outreach and trainings. Provide braille printing and TTY services. 2. Provide mentoring and training to Administrative Assistants throughout the agency, as needed. 3. Assist the Office Manager with establishing and implementing office protocols. 4. Establish and maintain filing systems; prepare/update binders; coordinate and make arrangements for travel, meetings, and conference calls; calendaring; copying; faxing; distribution of materials; and processing of mail. 5. Independently develop/type/transcribe/edit/proofread documents into final form, including charts and spreadsheets, utilizing Microsoft Word or WordPerfect, and Excel. 6. Independently initiate calls and conduct business with clients, professionals and others outside the organization; and also provide reception back-up relief as needed. 7. On supervisor’s behalf, act as liaison between other units within the agency – i.e., supervisor delegates full responsibility to individual for gathering information from and/or conveying information to other units, handling follow-up tasks to completion, and reporting back to requestor as appropriate. 8. Inventory and ordering of office supplies, including purchasing and maintenance of office furniture and equipment. 9. Process paperwork, including accounting and administrative forms. 10. Act as IT Liaison for the unit including troubleshooting computer, software, copier, printer issues and/or submit IT help desk tickets. Place service calls for equipment repairs, and ensure that adequate paper/toner is maintained in equipment. 11. Data entry and preparation of reports, as needed 12. Independent coordination of complex projects and trainings. 13. Provide reasonable accommodation assistance to staff with disabilities, as needed. 14. Participate in off-site outreach to minority and underserved communities. 15. Travel and occasional evening and weekend work required on an as-needed basis. 16. Perform other duties as assigned. Job Requirements Education, training, experience: MINIMUM QUALIFICATIONS: (Applicants MUST meet EACH of the Minimum Qualifications to be considered for an interview.) 1. Ability to communicate effectively in English and Spanish, both orally and in writing, including a working knowledge of correct grammar, punctuation, spelling, and sentence structure. 2. Education equivalent to completion of the twelfth grade. 3. Three years of progressively responsible administrative or secretarial experience. 4. Keyboard Proficiency: 50 net words per minute. 5. Skilled use of Microsoft Word or WordPerfect, and Excel. 6. Effective telephone skills, including the ability to handle difficult calls and situations patiently and tactfully. 7. Experience performing detailed administrative tasks, with the ability to understand and carry out oral and written instructions, to work well under pressure and deadlines, and to effectively reprioritize and handle multiple tasks, with minimal supervision. 8. Ability to handle confidential matters discretely; to work collaboratively as part of a team; to be flexible with changing situations; and to establish and maintain effective working relationships with employees in various offices and programs, clients, and people outside the agency. 9. Experience working with or sensitivity to persons with disabilities. 10. Experience working with or sensitivity to persons from ethnic or language distinct communities.
