Duties: General Statement Of Duties And Responsibilities: The employee primarily performs the duties of MRI Scheduling Coordinator and transcription of radiology reports. Other responsibilities may include performing Fileroom and Reception clerk duties when required. Detailed Statement Of Duties: 1. Liaison between Lemuel Shattuck Hospital Radiology staff and outside facilities for scheduling of all MRI exams as well as Emergency CT, Nuc Med, and Ultrasound exams. Secures pre-approval insurance coverage for all MRI’s. Works closely with radiologists and radiology manager to insure timely scheduling of patients. Liaisons with LSH clinical staff to insure in-patients for MRI procedures are scheduled with minimal delay Liaisons with the MRI Imaging provider (Tufts Medical Cntr.) to insure imaging studies are interpreted in a timely manner. 2. Preparation of quarterly and annual statistics when needed. 3. Typing of JCAHO Accreditation material when needed. 4. Answers telephones for radiologists. 5. Transcription of reports using a Dictaphone and PC when Medquist and/or Meditech system unavailable. 6. Photocopying, faxing and distribution of Radiology Reports. 7. Maintains teaching file for radiologists. 8. Maintains calendar for appointments and meetings as well as making certain travel arrangements for radiologists. 9 Transcription of dictated letters, schedules, forms, other written reports, memoranda, letters and other correspondence for the Chief of Radiology, staff radiologists, Radiology Manager or for others designated by the Chief of Radiology, as assigned. 10. Performs general office duties such as answering telephones, filing, record keeping as well as other duties assigned by the Chief of Radiology or Radiology Manager. 11. Monitors Meditech HIS to insure transcribed reports are accurate and matched with the appropriate orders. Insures reports reached their destination in a timely manner. 12. Performs other job duties in areas of the file room and front desk when assigned by the supervisor. File room- a. Preparing films/folders for interpretation b. Pulling patient folders for designated clinics and OR c. Filing copies of reports into folders d. Re-filing folders e. Assisting clinicians by pulling patient master folders, preparing films for mailing to requested/returned outside facilities. Reception/Appointment Desk a. Processes all Radiology, Nuclear Medicine, Ultrasound, Cat scan and Mammography requests as patient arrives b. Answers all calls for Radiology, Nuclear medicine, Ultrasound and Cat Scan c. Schedules all specialty exams (i.e. BA Enema, UGI) d. Arranges transportation for inpatients e. Maintains daily time log of all DOC/HOC patients for arrival times Qualifications: Minimum Entrance Requirements: Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below. Substitutions: I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.* II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.* III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.* IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience.* *Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed. NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience. Special Requirements: None. Ability to understand and apply the laws, rules, policies and procedures governing assigned unit activities. 3. Ability to read, write, and comprehend the English language. 4. Ability to use proper grammar, punctuation and spelling. 5. Ability to follow written and oral instructions. 6. Ability to assemble items of information in accordance with established procedures. 7. Ability to work accurately with names, numbers, codes and/or symbols. 8. Ability to file material in accordance with standard filing procedures. 9. Ability to maintain accurate records. 10. Ability to communicate effectively in oral expression. 11. Ability to establish and maintain harmonious working relationships with others. 12. Ability to deal tactfully with others. 13. Ability to type 35 mailable words per minute. 14. Courteous telephone manners. 15. Ability to communicate effectively in written language. 16. Ability to determine the proper format and procedure for assembling items of information. 17. Ability to operate specialized office equipment such as PC’s, Data display terminals, Dictaphones and other office machinery. 18. Knowledge/ ability to use computer templates, data and data base processing (Input) template or form creation, computer file storage. Qualifications Acquired On Job (List Knowledge, Skills, Abilities): 1. Knowledge of laws, rules, policies and procedures governing assigned unit activities. 2. Knowledge of types and usage of agency forms. 3. Knowledge of proper telephone procedures in making and receiving agency calls. 4. Skills in operating general office equipment such as photocopiers, file retrieval equipment, central console telephone systems, adding machines, paging systems, shredders and personal computers.
