Manchester Metropolitan University Assistant Administrator Permanent (35 hrs p/w) £16,540 - £18,005 per annum Quote (REF: G2/3931) Manchester Metropolitan University is currently recruiting for an Assistant Administrator based in the Office of Learning and Research Information Services To work as one of a team in a busy office providing a professional, efficient and confidential administrative/secretarial service in support of the work of the Director’s Office of Learning and Research Information Services. This involves general office duties including managing mail and e-mail, arranging meetings, typing accurate and well presented correspondence and documents, dealing with telephone and face-to-face enquiries, liaison with staff across the University and external contacts, the processing of orders, invoices and financial record keeping. The duties of the job include: • To provide secretarial/administrative support to members of the Learning and Research Information Services (LRIS) Executive Team, including dealing with telephone callers, receiving and organising correspondence and diary maintenance (arranging visits, meetings and appointments); and administrative support to staff in the LRIS division • To deal with incoming communications to Learning and Research Information Services (LRIS) Executive members with diplomacy, tact and discretion, drafting responses and taking other appropriate follow up action as required • To process paperwork in accordance with office and University procedures, making effective use of Finance and other key systems. • To process and monitor financial transactions, including the preparation and submission of orders and the processing of invoices • To assist with the organisation and administration of service wide activities, including projects, events and awards ceremonies • To assist with the administration of processes, eg, in relation to recruitment and selection, induction, professional development and review, health and safety and the maintenance of staffing records We would like to hear from you if you have: • Education equivalent to 5 passes at GCSE grades A – C, or NVQ Level 2, or equivalent experience, showing clear evidence of literacy and numeracy. • Either a relevant IT qualification (e.g., ECDL) or evidence of equivalent IT training. • Proficiency in working with standard office IT applications, such as Microsoft Word, Access, Excel and Outlook, as well as the ability to learn how to access and interrogate in-house systems. • Previous administrative/clerical experience. • Experience of arranging meetings, including note taking. • Willingness to be flexible in work patterns if occasional evening or weekend work is required or if requested to work on a different campus within the University. • Accurate word-processing skills, including the ability to produce documentation with complex layouts and diagrams, tables and footnotes. • Good writing skills, with a sound grasp of grammar and spelling and the ability to take responsibility for the accuracy and presentation of work.
