Milton Freewater Downtown Alliance Promotion Sub Committee Cinco de Mayo March 3, 2014 Physical Review of the Freewater Park Committee Members met at the Freewater Park to get a sense of set up so as to better prepare for the logistics of set up and preparations. Work plan Updates Fermin and Araceli confirmed that the bands Tormenta de Durango and Banda Rumera have confirmed. The building will need to be open early. Alina confirmed that the building is available and she will have the key. The question was raised as to what time will they be playing and what is the plan for stage hours. A schedule will be made for the bands. ACTION ITEM: Fermin & Araceli will contact the bands and a schedule will be made. Entertainment and the rest of the event will be built around the band schedule. This is due before the next meeting. ACTION ITEM: An American Flag and Mexican Flag will be used in the parade and posted in front of the bands by the stage. Elvira will bring the flags. ACTION ITEM: Rain preparations are in order. Heather has access to two tents. Mayra will go talk to Rent-a-Center for an estimate. ACTION ITEM: Power is not going to be a problem. Alina will follow up on electricity questions. Fermin suggested that there be at least 5 or 6 outlets. ACTION ITEM: Heather will look into finding a dance floor and bring an estimate. ACTION ITEM: Mayra will talk with Cindy Epefanio about the sashes, t-shirts for staff/volunteers, tickets and flyers. ACTION ITEM: Names of the bands are needed so that they can be placed on the tickets and flyers. Araceli offered to design the tickets and flyers. ACTION ITEM: A clean up crew is needed for the parade. The Heritage Club will solicit volunteers from Mac-Hi school clubs. (Vanessa) ACTION ITEM: Mayra will follow up on interviews of Royalty for the local paper. ACTION ITEM: We need a decorating committee. The previous schedule was 10-2 for the Saturday event with food venders. It was suggested that 10-4 would allow for more sufficient time. Time for the parade needs to be estimated into the schedule. There should be an introduction, presentation of the flags, royal court activity and bands. There may be raffles as well as announcements such as thanking vendors and sponsors. ACTION ITEM: Royalty will be contacting sponsors for the event. The Heritage Club will thank the sponsors, tag up the community building and present certificates. ACTION ITEM: Mac-hi has access to banners. No date will be put on the banners so as to reuse them yearly. A banner was requested for the escolta. Norm will talk with the superintendent about the banners. The price for entry to the dance will be $20 per person. It was suggested that there be a student price of $15. Another suggestion was a pre-event price and then a higher price at the door. That seemed to be the consensus. The proceeds will go to help the students at Mac-Hi. ACTION ITEM: A Cinco de Mayo Community United page was made on Facebook. It was requested that the news be spread around and to ask friends and family to “like” the page. ACTION ITEM: Elvira and Marisol have looked into uniforms for the Escolta. An oral budget was given to the Director. The uniform pieces will have to be ordered online. They will be coming from Wal-Mart. The uniforms will be kept for use for next year’s Escolta. There will be a cost of approximately $50 per person. Practice will take place in Norm’s building on Main Street at 2 p.m.. Applications for the Royalty should be submitted to Sheila Hoberg. Royalty will be submitting an essay with answers to questions such as “What do they want to see in the future?” A meeting will take place on Wednesday of the following week to review the applications and essays. Sheila is in charge of the students who sign up for the Royal Court. She will keep the committee posted on how the process went. ACTION ITEM: Mayra has interested vendors ready to learn more about the event and to sign up. By the next meeting we should have more clarification. She requested an application from the Director for the food vendors. It was suggested that Grandma’s Kitchen be contacted. It is preferable that vendors have their own power source. Alina stated that she has the sound variance, community building, license for the parade and extra trash cans lined up for the event. A security deposit will be needed for Friday night’s band concert/dance. There will be a cost of $250. It was suggested that more local people be involved in all aspects of the event. ACTION ITEM: Elvira requested help with organizing the parade as far as the floats/carts/trucks and the line up of said items. A float is needed for the king and queen. We want to talk with and have talked with several local businesses. Some of those include local farmers, Les Schwab, Ferndale, Cheerleaders, Mac-Hi, Heritage Club, Wineries, Flower shops, Legacy Ford, Wildhorse, Mrs. Elkington’s horses, soccer team, limo, local churches, Bicycle Barn with a unicycle rider, local police officers. Elvira and Mayra will call and follow up with leads on interested paraders. ACTION ITEM: Scoopers are needed for the clean up behind the horses. Vanessa will follow up on looking for volunteers. It was suggested that the FFA be asked to volunteer. ACTION ITEM: Bill Erikson has a Thursday night Mariachi band from Wa-Hi. College Place and Walla Walla are having a small celebration as well. It was suggested that the events combine or at the very least a representative announce the next events including Milton Freewater’s at the neighboring celebrations. Norm will contact Bill. Marisol is part of the PTA in College Place and will help with contacting people in College Place. ACTION ITEM: Alina will forward the Royalty applications to Sheila & Elvira. The application is due by March 12, 2014. Other Business & Wrap Up The next meeting will be held on Main Street in Norm’s building at 6:30 p.m. on Tuesday March 18, 2014. Meeting adjourned 7:27 p.m.
