New Job Reairs Administrator - REPA/E/DA/01/1 Industry: Building and Construction Job Type: Permanent Location: Woodford Green, England Salary: £18500 per annum JOB SPECIFICATION My client are a large maintenance contractor operating out of Walthamstow, with in the company an opportunity has become available for an experienced repairs administrator to join an already growing team. The ideal candidate MUST be able to drive and have a vehicle!! this is vital. PURPOSE OF THE ROLE/ROLE OVERVIEW: To proactively manage & organise own workload for contract administration activities in order to facilitate the smooth running of the Administration team. Support contract managers maintaining appointments activity to ensure effective utilisation of available time. The role requires the ability to carry out a range of administrative and IT-related tasks and includes the updating, monitoring, recording and filing of administrative management systems and all other tasks reasonably associated with administration. The role will be require the individual to mobilise with others the setting up of a standard administration process for new projects, attend regular performance reviews and meeting and also involves identifying and solving problems and complaints in line with client and company complaints procedure, effectively, efficiently and in a timely manner. Your priority will be to support Business Systems Manager / Administration Manager and company senior managements and engage with other departments within the company as and when required. SPECIFIC DUTIES/KEY RESPONSIBILITIES Ensure Customer satisfaction by way of the company administration and frontline customer service function; ensure compliance with companys business management system; adhere to and maintain, company policies, procedures, guidelines, and related activities to assist in the continuous improvement and development of the administration function. *Working with the line manager, develop and time manage in line with individual work schedule. *Ensure administration work is completed in a timely, accurate and efficient manner, monitor and provide monthly reports in line with contract/project KPI`s and performance measures *To regularly self-audit and ensure adherence to companys standard administration systems & procedures *Assist contract managers to resource plan admin team workloads to ensure timely completion of tasks , log issues, works orders & task specific work schedules for managing workload and expected outputs *Organise/arrange meetings, appointments and electronic diaries as instructed *Collate and prepare hard & electric copies of monthly reports *Accompany management to internal/external meetings as required. *To diarise and co-ordinate meetings, record minutes and circulate as appropriate. *Attend staff appraisals and performance reviews. This includes performance, service delivery, frontline calls and annual review. *Personal development; Identify with line manager, skill gaps or training requirements. *Be actively involved in management discussions with regard to the company`s policies and procedures development *Promote company ethos such as equality and diversity and other policies *Provide project/contract management administration support and ensure defined processes are followed *Document, respond and report Customer/Client formal and informal enquiries and complaints, in line with clients contractual timeline *Liaise with the line manager and Health & Safety Manager on Health & Safety issues. *Ensure senior staff are made aware of any suggestions for improvements to the systems in which the above duties are involved. *To liaise and assist business development & CSR teams with client/resident events *Provide cover when required on a rota basis for Reception during annual leave and lunchtime breaks. PERSON SPECIFICATION *Must be able to communicate professionally on all levels both face to face and via telephone. *Must be fully competent in the following and other company specific applications, Word, Excel, E-mail (Outlook), Internet *Knowledge of Accuserv would be an advantage *Experience of using PowerPoint would be advantageous *Desirable: NVQ in Customer Service (advantageous) *Must be experienced and concise in all written communications. *Must be able to calculate concisely and have basic understanding of commercial tasks. *Pro-active, ability to work under own initiative without direction. *Credible and able to communicate effectively with senior management. *Must be extremely ambitious and focused. *Possess good interpersonal skills, e.g. tact, sensitivity, ability to listen, to be assertive at times. *Clear focus on high quality *Ability to work to deadlines and targets can prioritise tasks under pressure. *Natural forward planner who critically assesses own performance. *The ability to work quickly, flexibly, effectively and positively in response to requests made at short notice. *Ambitious. *Flexible and adaptable, comfortable with juggling a range of tasks in a fast-moving, dynamic environment. *Reliable, tolerant and determined. *The ability to prioritise and organise own workload in an effective and accurate manner, whilst working within company guidelines. *Empathic communicator *Good organisational skills and able to pay attention to detail. *Versatile. *The ability to contribute to and work effectively within a team environment. *Reliable and Trustworthy. *Experience of working in a *similar environment.
