Office Manager Summary of Duties Reporting directly to the Assistant General Counsel, the Office Manager supervises departmental secretaries, receptionist, interns, and any other support staff by coordinating and distributing assignments, monitoring performance, and prioritizing work flow. Participates in the hiring selection, performance review and discipline of subordinates. Manages routine requests and matters; follows established rules and procedures in responding to requests and redirecting items to other staff members. Performs special projects as assigned and maintains follow-up reminder systems to ensure timely completion of projects. Responsible for department timekeeping and closing payroll. Maintains and files confidential board material, including closed session minutes and materials. Handles all administrative ordering, payments - including outside counsel billables, initial yearly budget creation and ongoing budget forecasting. Maintain oversight for department budgets including monitoring expenditures, instituting budget revisions when necessary. May need to perform secretarial assignments, as needed. Serve as supplemental support and backup for other positions in the department. Schedule and track hours for Continuing Legal Education credits. Perform other related duties as needed to meet the ongoing needs of the organization. Must be available to work flexible hours in the early morning, late afternoon, evenings, or weekends. Minimum Acceptable Qualifications Bachelors degree Business Administration, Communications, or related discipline OR in lieu of degree, any combination of education and experience as a legal secretary, human resources administrative assistant, paralegal or working in a law firm that equals four (4) years. In addition to #1, must have three (3) years experience supporting a general counsel or other senior level executive. Must have three (3) years of direct supervisory experience that includes three of the following responsibilities: day-to-day employee management, assigning tasks, providing guidance and training, monitoring performance, dispute resolution, budgeting, hiring, disciplinary and/or termination. Must have budget and accounting experience sufficient to handle law department financial requirements. Must be able to work with sensitive information and maintain strict confidentiality. Exercise tact and discretion. Extensive experience (create and manipulate) in Microsoft Word, Excel, and PowerPoint. Continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to interact professionally with all levels of staff, Board and senior staff members, representatives of federal/state/local agencies, outside vendors, and the general public. Demonstrated ability to handle competing demands, use time efficiently in a high paced environment.
