PA/OFFICE MANAGER - CBD Minimum Requirements: • Matric essential and a relevant tertiary qualification would be advantageous • Minimum of 10 years (neg.) working experience as an Office Administrator/Personal Assistant/Secretary within an SMME • Strong financial acumen essential and bookkeeping experience (Pastel/Quickbooks, etc.) advantageous • Fully computer literate (Word, Excel, PowerPoint, Pastel/Quickbooks, etc.) • Minimum typing speed of 50 wpm • Exceptional communication skills (written and verbal) on all levels • Able to work under pressure whilst remaining adaptable, focussed and flexible • Must be able to multi-task and ensure all tasks are completed within given timeframes • Well organised and pedantic when it comes to attention to detail • Logical thinker • Good time management and able to delegate when required • Prepared to work after hours if and when required • Well groomed and highly presentable • Have a valid driver’s licence and own vehicle Experience In: • Finance administration (bookkeeping, budgeting, cash flow analysis, invoicing, accounts receivable, accounts payable) • Managing administration teams (reception, cleaning staff, etc.) • Ensuring office is well organised and managing all building administration related queries • Liaising with clients, service providers and internal staff • Communicating verbally and in writing to answer enquiries and providing information • Maintaining diaries, schedules and calendars • Organising, scheduling and coordinating meetings, events, appointments and conferences • Coordinating travel arrangements (both nationally and internationally), visa applications and forex applications • Managing filing systems/database • Managing office stationery and consumables • Screening telephone calls, enquiries/requests and handling when/where appropriate on behalf of MD • MD’s personal related tasks
