This is a part time position with approximately 15-20 hours per week starting at $16.00 per hour. This is a multi-faceted position with a large variety of tasks including Secretary to the Board of Directors. Job Description for the Website, 2014 Position: District Secretary Compensation/Hours: Starting salary $16/hr; 15-20 hrs/week; flexible work schedule; number of hours can increase/decrease depending upon need and approval of Board/Fire Chief. Skills/Qualifications Required: • Ability to work independently • Maintain confidentiality • Excellent communication skills, both written and oral • Ability to learn departmental policies and procedures • Competency in Microsoft Office software (Excel, Outlook, Word, Access) • Ability to work effectively with other agencies, the community, and District/Department personnel • Knowledge of the Brown Act and the Public Information Act Job Duties: Performs a variety of routine and complex clerical, secretarial and administrative work in keeping official records and providing administrative support to the Fire Department staff. Using excellent communication skills, establishes and maintains effective working relationships with Department/District officials, the District Manager, and all members of the general public. Reports to the District Board and to the Department Fire Chief. District Duties: • Acts as Secretary to the District Board • Prepares board packets for all Board meetings; posts and distribute agendas; performs as recording secretary for monthly board meetings • Writes/prepares Ordinances and Resolutions in accordance with State Law • Files appropriate forms with Nevada County and State government • Responds to requests from the public in a timely and professional manner. Follows legal guidelines in releasing confidential or sensitive information, ensuring release only to authorized parties Department Duties: • Performs general secretarial duties such as typing and maintaining files • Picks up and distributes incoming mail • Answers and screens incoming calls and visitors; directs inquiries/requests to appropriate person • Maintains incident statistics, paid-call reimbursement records, firefighter personnel files, and department rosters/duty schedules • Reminds firefighters of pending certification expirations • Helps prepare and mail semi-annual newsletter • Orders department office supplies • Orders road signs/collects money • Issues permits • Schedules and logs events taking place at fire station meeting rooms • Serves on committees as requested • Performs other duties as requested by District Board/Fire Chief
