Project Co-ordinator (Boksburg) Reporting to the Regional Technical Manager, the Project Co-ordinator is responsible for supporting the project management processes. This includes understanding project goals, deadlines, and financial boundaries to ensure that management can best allocate and utilize resources be it financial or other. Coordination of logistics, personnel, support, maintenance, project stock and procurement. The position requires at least 2 years experience in an administration or project environment. The successful incumbent is a self starter with a proven track record in delivering on objectives, and is able to exercise sound judgement in the pursuit of the achievement of the goals of the organisation. The incumbent will be expected to be results driven and to live the values of the organisation. Role Responsibility: Administration costing and finance aspects of projects • Consolidation of monthly invoices received • Follow-up with 3rdparties and vendors • Taking delivery of orders • Reconciliation of costs of project • Administer, coordinate and control project, support and maintenance cost and profitability. Effective Stock Administration. • Maintenance of support and project stock levels – transport, ordering, purchasing • Manage procurement process from placing orders, to generating SO’s, SOQ’s and bill of material. • Distribution of stock as required • Maintenance of stock database • Import and customs clearing for project stock Assist with staff deployment and project requirements • Logistics around flights and accommodation as needed for projects • Visa application coordination • Medical and Induction monitoring and coordination • Site specific contractor packs monitoring and coordination Effective Operations Coordination • Identify and communicate delays to management • Monitor forecasted delivery dates and facilitate on-time delivery of stock and or service • Maintenance contract expansion monitoring • Maintenance contract renewal coordination Sales quotation and administration • Compilation and distribution of quotations on request • Sales quotation follow up • Site survey coordination • Site survey (Only applicable when specified) Reporting • Monthly management report • Weekly project margin report • Project reconciliation and profitability report • Time sheet report • Required additional reports may be added as needed The Ideal Candidate: Qualification and Experience • Grade 12 • Experience in a similar role would be an advantage • Strong administration background • Logistics experience • Stock control experience • Financial understanding and reporting • Resource coordination Knowledge Skills Attributes Basic IT knowledge required: - • MS Word • MS Excel • MS Outlook • MS Projects • MS Power Point Knowledge of company policies. • Good communicator both written and verbal. • Good time management skills, personally and others. o Accurate and precise reporting o Attention to detail o Administration o Financial reporting • Delivering great customer service • Sharing and cooperating • Dealing with changing circumstances • Understanding the organizational environment • Attention to detail • Work under pressure • Acting professionally • Delivering objectives on time
