Answer and triage calls incoming to the Departments main line and provides support triaging the Commissioners office line. 3. Open, date stamp, sorts, tracks and distributes incoming mail according to office procedures. 4. Respond to constituent inquiries received through webmail. 5. Send constituent inquiries received through webmail to appropriate bureaus and offices for response. 6. Schedule and maintain various calendars the Commissioners office oversees. 7. Complete xeroxing projects. 8. Complete collating projects such as folders and manuals. 9. Coordinate outgoing mailing projects including creating mailing labels and merging letters. 10. Perform related duties as assigned. Qualifications: MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associates or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. An Associates or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed. Educational substitutions will only be permitted for a maximum of two years of the required experience. Preferred Qualifications: 1. Ability to communicate effectively. 2. Ability to write concisely, express thoughts clearly and develop ideas in a logical sequence. Ability to use proper grammar, punctuation and spelling. 3. Ability to make recommendations. 4. Ability to multi-task and prioritize. 5. Ability to prepare documents and reports accurately. 6. Ability to assist customers of diverse backgrounds. 7. Ability to follow guidelines and procedures. 8. Knowledge of software applications such as Microsoft Office. 9. Ability to work independently and in teams. 10. Strong organizational skills. 11. Based on assignment, the ability to supervise and assign work effectively. Comments: A criminal background check will be completed on the recommended candidate as required by the regulations set forth by the Executive Office of Health and Human Services prior to the candidate being hired.
