Short-Term Opportunity Board-approved employees are eligible to apply Position/Title: HR Analyst Department/Location: HR Solutions Center/Inclusion Grade: PS 9 Bi-weekly rate: $1,298.74 - $1,375.13 Work Days/Hours: M-F, 8:00 a.m.-5:00 p.m. End Date: 12/31/2013. May be extended into 2014. Job Summary: Provides a variety of responsible reception, clerical and administrative assistance for the HR Solutions Center. The HR Solutions Center provides consulting services to District employees, therefore, this position requires a high level of customer service excellence, interfacing with employees, professionally representing the department and handling confidential information and researches and resolves department questions. Essential Functions: 60% - Performs administrative HR functions such as reviewing performance evaluations for legal issues/best practices, administering probationary procedures, and faculty tenure tracking, identifying employees who are eligible for steps awarded at completion of probationary period; preparing personnel action requests, processing department table changes; ensuring data is accurately recorded in PeopleSoft 20% - Provides reception, clerical, administrative and technology assistance for the HR Solutions Center involving sensitive situations that require tact and diplomacy; responds to telephone and in person inquiries from employees and walk in customers who may be distressed; collaborates with others in HR to answer questions or resolve problems 10% - Prepares online budget items such as requisitions and purchase orders using Oracle CFS; orders office furniture and supplies; compiles data and drafts various reports 10% - Coordinates logistical items to include reserving rooms, catering, decor for events; communications, preparation of materials; coordinates travel plans and department activities, projects, and events; performs other duties as assigned Minimum Qualifications: - Experience providing responsible clerical or administrative assistance - Experience working with online Human Resource Management Systems (HRMS), such as PeopleSoft - Experience with tasks requiring a high attention to detail - Experience providing reception and customer service involving interaction with others on the phone and in person - Experience working with software such as Microsoft Office applications (Word, Excel and PowerPoint), e-mail and calendaring systems - Experience with general office procedures such as preparing requisitions, ordering supplies, assisting with travel plans, coordinating activities or events, preparing job requisitions, etc. Desired Qualifications: - Experience working in a Human Resources function or in a Human Resources office - Experience providing responsible clerical or administrative assistance in a highly visible and sensitive office - Experience communicating with people from a variety of backgrounds and cultures and with people who may be experiencing distress - Experience working with online budgeting systems such as Oracle CFS - Experience working collaboratively and cooperatively with others - Experience working with FileMaker Pro Special Working Conditions (if applicable): May require prolonged periods of sitting and viewing a computer monitor; may require lifting objects up to 30 lbs.
