So......Lis and I were chatting about the reunion. Lis showed me her reunion folder from all the reunions so far...she has an amazing spreadsheet of contacts, and all info on costs, attendance etc from our reunions. She also had a small list of people who requested NOT to be contacted again in future (interesting). Craig, you might be interested to note, that as some people dont RSVP in advance and still choose to come on the night, payment is difficult to quote per head and also leads to booking somewhere in advance that is flexible (room wise) to give or take up to 20-30 people. Therefore, in the past, a deposit has been paid, invitations sent out with a cost to cover food (nibblies), band/DJ with a little added on to cover unexpected costs and extra people showing up on the night. Any money left over was then donated to charity (which occurred the previous 2 reunions) Lis has all bank statements and receipts still from these transactions! Lis has forwarded some of her contact list info on to Merrick, however it is her hard work and on paper, doesnt translate the knowledge she has and info she gained during the process. We really think we need to firm up a venue ASAP so we can start the ball rolling, as her experience is that it is very difficult to start the process waiting for an idea of numbers, as they fluctuate wildly in the last 2 weeks before the actual event. Based on our previous numbers of attendance, I think its safe to start at 100 and hope for up to 150 and work with venues that are flexible over or under that figure to around 20 people. Lis and I are chasing up the Plough Inn at the moment as they have a room for up to 150 that has a deck and inside seating. No room hire fee based on food required (nibblies or sit down menu) & you can bring your own DJ or band in.....so watch this space and well pass on the info and see what everyone thinks.....
