The Organisation requires the services of qualified individuals at its Menlyn Offices for the following position: THIS IS AN INTERNAL AND EXTERNAL ADVERTISEMENT OFFICE ADMINISTRATOR T.A.S.K LEVEL 9 FINANCE DEPARTMENET Ref: 20000099 OA Purpose of the Job: Reporting to the Senior Manager: Financial Accounting responsible for Creditors and Payroll, the successful incumbent will provide administrative support to the Financial Accounting Department. Key Performance Manage the office of the Senior Manager and Managers. Manage filling and correspondence Manage and update the diary of the Senior Manager and Managers Make follow-ups on outstanding matters on behalf of the Senior Manager. Arrange meetings as well as travel arrangements for the Senior Manager Co-ordinate parliamentary questions and RAF input Type documents generated from the Senior Manager office. Keep database of all projects and co-ordinate project reports Manage project payments Take minutes and distribute it to relevant stakeholders. Developing and managing a follow-up plan on meeting resolutions and matters outstanding. Act as a link between the Executive and Senior Manager in the divisions. Responsible for the effective and efficient telephone management Ensure that the filing system is up-to-date and functional at all times. Ensure that retrieval of information is efficient and effective. Ensure confidentiality of all documents under control and that correspondence from the Manager’s office reaches intended recipients. Acknowledge receipt, apply file number allocation, record data into computer system and then file appropriately Updated leave register/records Day to day Administrative support management Executive summary management summary Qualifications and Experience Grade 12 (Matric) Secretarial certificate Accounting qualification would be an added advantage 5 Years proven office administration experience in this environment Key Competencies: Self-motivated and able to use initiative Bilingual (English or any other language) Own transport Able to multi-task in various differing fields and be well organized with self-management skills Highly Computer Literate, MS Offices Word / Excel / MS PowerPoint High level of Communication Skills (written and verbal) Experience in Budget Management Experience Procurement Processes, Professional Filing: electronically and manually, Project Management , SAP and Highly organizational skills Remuneration A total cost to company of minimum remuneration package applicable to this position is R210 344.00 per annum and will be negotiable commensurate with experience.
