United Way of Central Indiana Job Posting Job Title: Administrative Professional, Donor Relations - Workplace Department: Resource Development Reports to: Associate Director, Resource Development Operations FLSA Status: Non-Exempt Salary Classification: B The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of personnel so classified. Summary & Scope: Provide sales and administrative support to multiple team members and volunteers, who are responsible for United Way of Central Indiana’s (UWCI) fundraising and related activities. Essential Duties & Responsibilities include the following. Other duties may be assigned. • Provide primary sales and project support to multiple team members. • Schedule meetings, prepare agendas, materials, track RSVP’s, and logistics. • Receive and enter initial workplace pledge/payment information via Campaign Contribution Report Envelopes. • Query organizational database and extract data to import to MS Word or Excel. • Generate and run accurate multiple reports from database • Produce quality company campaign presentation materials. • Provide campaign donor support and recognition for companies and individuals. • Compile and type statistical reports (charts, graphs and spreadsheets). • Type & prepare correspondence, mail merges, labels & other documents. • Provide customer service in a courteous and professional manner including scheduled switchboard relief, greeting and directing visitors, taking and delivering phone or visitor messages, answering all departmental telephones promptly and providing information or routing calls to appropriate staff. • Handle telephone and e-mail inquiries, requests, etc., from donors in a courteous, professional manner. • Troubleshoot and field general requests from donors and team members. • May travel to assist with providing support to county offices. • Proofread and edit documents as needed and requested. • Gather and prepare annual campaign materials and supplies for team members. • Provide assigned functions and services in a timely and proficient manner. • Promote a cooperative spirit within the organization and among internal and external United Way participants. Other Duties & Responsibilities • Provide front desk switchboard relief on a rotating calendar as scheduled. • Assist county area directors as needed. Supervisory Responsibilities: None Qualifications: Demonstrated proficiency in Microsoft’s Word, Excel, Outlook and PowerPoint 2010 is required. Experience working with databases and strong proficient data entry skills are required. The ability to merge and manipulate Excel data is necessary. Must be able to type and produce accurate documents in a timely manner. Demonstrated skills in the following areas are required: customer relations, strong customer service, attention to detail, verbal and written communication, interpersonal relations, proofreading, mathematical and organizational skills. Ability to scribe meeting and teleconference call minutes. Working knowledge of general office practices and equipment including phone systems, copier and fax is essential. Flexibility required working in a fast-paced sales/business office environment. The ability to work effectively under pressure, independently and use good sound judgment is crucial. Must be able to work with volunteers and the public in a professional manner is critical. Appropriate business dress and grooming is essential. Must be able to prioritize work assignments, handle multiple tasks with minimal supervision, and be able to re-prioritize tasks. Establish and maintain an effective project management system. Ability to review computer data in consultation with staff is necessary. Must be flexible to work in an open area and handle distractions, while effectively managing workload. Must be reliable, have excellent attendance and strong work ethics. Must have reliable transportation. Education and/or Experience: High school graduate with at least four years administrative or customer relations/sales support experience required. Some advanced education is preferred.
