VACANCY ANNOUNCEMENT Administrative Officer Women is encouraged to apply Ponlok Khmer also known as People and Knowledge of Highlanders (PKH) is a local NGO founded in 15 February 2005 and it was officially registered with Ministry of Interior of Cambodia received legal registration in 24 June, 2008 as a charity, development and non-profit organization. PKH focuses on peace and resource rights education playing as a platform form for communities and local authority to meet and discuss the challenges to find proper solution for development improving positive impact of the poor and women in the communities, integrated community development through strengthening community based organizations by providing technical advice of community legalization and forest based sustainable livelihood development for forest dependent and Indigenous Community, and capacity building and consultation service by leaning and documentation from what we have done successfully in a good model for sustainable development. PKH is looking for an experienced Cambodia Woman National to fill the position of Administrative Officer to be based in Preah Vihear province. Responsibilities: • Ensure the control of letters in and out and keep informed to staff involve with letters. • Make sure that office is cleaned and run smoothly, security safety and all electricity is closed after working. • Ensure that all monthly telephone, electricity, Internet/Email, water bills and rentals are appropriately paid on time. • Hold and be responsible for the petty cash for general smaller office expenditure and make the replenishment to bring it back to its original level based on the PKH policy. • Assist in the preparation and processing of documents, including drafting, typing, formatting, editing and keeping the original documents on file. • Undertake the administrative arrangements for conferences, training, seminars or workshops, etc. • Manage the office supplies, stock control, equipment and other services of procurement. • Ensure that a sufficient and proper amount of inventory and supplies are consistently kept with the supporting documents and an updated inventory and supply list is maintained. • Check and update the fixed assets of all programs and office. Ensure that the fixed assets guidelines are applied properly. • Arrange the appointments, receive the visitors, place and screen the telephone calls, and answer queries with discretion. • Screen all incoming correspondences, documents/ reports and provide to the supervisor. • Maintain & update all kinds of contact lists (staff, authority, vendor, partner (org.), donor, etc.) • Organize the staff meeting every month and write and file the meeting minute and action. • Make and update the list of personnel information, review staff contracts to complete their conditions and follow up the checklist for expiries, deadlines of MoU, Insurance, etc. • Retain permanently the personnel files including Employment Contract, Job Descriptions, Identification Card, Job Application, Interview Result Sheet, Performance Appraisal Result, Leave Record etc. Ensure the office filing system and library is proper and good in manner. • Provide monthly work/expenditure plan to Technical Advisor for activities management. • Obtain the monthly bank statement and credit/debit advice for money receipt and transfer. • Prepare the monthly payroll and payslips for all program and office staff and management. • Record the daily staff information from the white board and submit it to Technical Advisor to take an action according to the event, etc. • Maintain good relationship and clear communication with PKH staff and management and assist the PKH staff for any matter related to administrative issues. • Maintain good relationship and clear communication with new staff or comers and arrange hotel and trip for PKH staff, visitor, etc. • Make sure that the Personnel and Administrative policies are applied properly and effectively. • Perform other related tasks as assigned and requested by Executive Director and Technical Advisor. Requirements: • Bachelor degree in Administration or related field. • Analytical and problem solving skills, team building, supervisory skills • Good command of English • Good personality and able to work under pressure • Ability to respond to multiple deadlines at once • Minimum of two year experiences in Admin work • Knowledge of general administration • Strong communication, interpersonal and organization skill • Flexible and reliable person • Understand multi-cultures in the remote area contexts • Good computer literacy (Internet and Email, Ms. Word, Excel, Power Point, etc.) Interested candidates are invited to submit CV along with cover letter to Ponlok Khmer office: Thmey Village, Sangkat Kampong Pranak, Preah Vihear Town, Preah vihear Province.
