Reporting to the Recruitment Consultant, the Recruitment Assistant’s key responsibilities will be, but not limited to: Recruitment Maintain all recruitment workplans and timelines and continually monitor recruitment practice for compliance with legal requirements and TGA’s Standards, escalating any concerns as appropriate. Manage recruitment email inbox and address queries received in a consultative, professional and timely manner. Serve as the custodian of all recruitment files. This entails formatting, printing and filing all recruitment documentation. Manage the recruitment calendar by creating and coordinating appointments. Conduct recruitment related research relating to clients, positions and the business industry at large. Liaise with all company approved recruitment advertising agencies and Account Managers to ensure consistent, professionally branded job advertising. Invoice and follow up on payment from clients. Applicant Management Receive, review, long-list and short-list applications. Manage interview logistics including preparing interview and assessment materials, liaising with shortlisted candidates and the interviewers to schedule interviews, receive documentation, etc. Conduct reference checks. Inform candidates about the results of their interviews. Manage the recruitment portal and applicant database. Social Media In consultation with the Recruitment Consultant, implement the company’s Social Media strategy by managing the Social Media channels for recruitment – Facebook, LinkedIn, Twitter & You Tube by responding to questions and mediating productive discussions Attract more followers and keep them engaged. Build new channels/groups where necessary. Maintain and improve the channels. Source and develop appropriate content/competitions/polls for social media channels. Keeping abreast of new technologies and channels within the social media arena. Customer Service - Core Value! Handle all recruitment queries in a responsive, customer-focused way - providing a comprehensive information and advice. Provide excellent customer service to external and internal candidates, in supporting the Recruitment Portal to ensure a positive experience. Respond to queries from recruiting managers, supporting and advising them to follow the correct procedures for high quality recruitment. Communicate effectively and confidently at all levels, over the phone, face to face and by email and other multimedia interfaces Key Required Skills and Experience: A minimum of a diploma in Human Resource with a minimum of one year’s work experience a busy HR environment Attained a B minus or above in KSCE. Be self- confident, curious, courageous and imaginative, with a desire to learn and grow as an individual. Be pro-active with a high level of personal drive and enthusiasm and a personal commitment to excellence. Be highly organised, able to pay attention to detail, think on your feet and deliver the desired results on time. Be a good communicator, with the ability to write and speak in grammatically correct English. Have unquestionable integrity, a high level of discretion and the ability to work with confidential information. Be computer literate, highly proficient in Microsoft Office suite, particularly Word, Excel, PowerPoint and Outlook and any proficient in conducting internet searches. Remuneration: The salary for this position will be KShs 20,000 gross per month, plus medical benefits upon confirmation.
