Administrative Assistant/Receptionist: Details: Administrative Assistant/Receptionist A HIGHER RETURN ON YOUR EXPERIENCE Position Summary: The Receptionist/Administrative Assistant position will perform general administrative and front office management duties, including phone console management, calendaring, travel arrangements, lobby area maintenance, shipping and receiving coordinator, client correspondence, proposals/presentations. This position will be cross trained between departments/teams to assist with covering absences, special projects, various busy seasons, and overall office support needs including marketing & facility management. Receptionist/Administrative Assistant Position Accountabilities: Lobby area maintenance including: Conference room and visitor office management, appearance, and scheduling Lobby appearance, visitor sign in log, lobby sign, collateral and magazine updates Phone console management – daily voicemail, directing and screening all incoming calls, scheduling front desk lunch phone coverage Monitor elevator traffic - client, visitor, delivery point person FedEx, Lake Michigan Mailers, USPS management, sorting daily mail, staff deliveries, fax monitoring, post office drop offs Set 8:00 am – 5:00 pm schedule for lobby operation hours Catering coordinator for all office meetings and trainings Setting up beverages and food for meetings, lunches and dinners if requested; also straightens/cleans conference rooms Webinar and training coordination Assist with overall facilities management of office - environment, janitorial, storage, heating and cooling issues, lighting, and security when requested Responsible for the management of services, procurement and contract management, insurance requirement compliance, building maintenance, cleaning, catering and vending when requested Any other office duties as required Tax Department Support Due date coordinator support E-file coordinator support Sureprep, FX, & Firm Flow tax software management Client organizer and engagement letter assistance May scan documents as needed May set up 1040 and corporate files May be involved with tax processing General Administrative Assistant/Marketing Support Marketing back up processing proposals, presentations, letters, memos and reports CRM data management software support to office PDL Specialized back up support for Higher Education and Financial Institution industries Audit support – financial statement processing, letter proofing, meeting materials Maintain calendars of team members, if requested Organize (and reserve) travel arrangements, client/team meetings, and events Handle team telephone calls Assist/backup other administrative team members when necessary Scanning, filing, organizing as needed Office document management including staff lists and electronic tracking logs Check requests, workflows, assistance with other internal document requirements Coordinate travel or visiting staff requests Petty cash maintenance General Office Manager support as requested Special projects, social committee support, PM Cares support Event coordination as requested Education: HS Diploma or GED equivalent required.
