Our main tasks are. • Identify the stakeholders and classify them in different catogries. • How will project manager manage the communication process during the project to come up with productive results? Part 1 Classification and catogries of stakeholders: Individuals and organizations that are actively involved in the project, or whose interests may be affected as a result of project execution or project completion are termed as stakeholders. They may be individuals or organizations that are dynamically involved in the project. Their interests may be affected by the execution or completion of the project. Fundamentally, stakeholders affect and are affected by an organization and its activities. Stakeholders can affect an organization’s functioning, goals, development and even survival Several stakeholder categorization systems are encountered in the literature. They include the borrowing government, line ministry and project staff, implementing agencies, local governments, civil society organizations, private sector firms, the Bank and its shareholders and other development agencies. The General Public 14. Countries, Country Groupings and World Community Part 2 Manage the communication process: Project Manager spends up to 90% of their time in communicating. Many beginning project manager do nothing to address communication on their projects beyond issue status reports. They start working on a project without even thinking about how to communicate with others. The lack of a communication plan is possibly the biggest mistake the project manager and the team members make. Project communication is composed of three components: Communicating project information in a timely manner. They generate the right level of information for the stakeholders. Collecting, distributing, and storing project information in an effective manner. Each team member communicates with other team members on a variety of subjects, issues, and processes daily. One common difficulty with project communication is that the project manager and team members assume they have communicated properly with each another, when most often they have not. The project manager is charged with guiding all aspects of the project including the communication plan. Communication is not only about speaking to and hearing from people its about understanding the complete message. Importance of Good Communications: • The greatest threat towards many projects is a failure to communicate. • Our culture does not portray IT professionals as being good communicators. • Research shows that IT professionals must be able to communicate effectively to succeed in their positions. • Strong verbal skills are a key factor in career advancement for IT professionals.. Methods of Communication: The communication models used to facilitate communications and the exchange of information may vary from project to project and also within different stages of the same project. The sequence of steps in a basic communication model is: • Encode. Thoughts or ideas are translated (encoded) into language by the sender. • Transmit Message. This information is then sent by the sender using communication channel (medium). The transmission of this message may be compromised by various factors (e.g., distance, unfamiliar technology, inadequate infrastructure, cultural difference, and lack of background information). These factors are collectively termed as noise. • Decode. The message is translated by the receiver back into meaningful thoughts or ideas. • Acknowledge. Upon receipt of a message, the receiver may signal (acknowledge) receipt of the message but this does not necessarily mean agreement with or comprehension of the message. • Feedback/Response.
