City Life Family Festival 2013 VOLUNTEERING OPPORTUNITIES Date: Saturday 14 September Venue: Leadenhall Market Now in its fourth year, the City Life Family Festival is a free fun day that offers an exciting programme of activities and entertainment for families and young people. Parents and children from across the City come together to have fun, and learn more about their community. Volunteers are essential to the success of City Life. The event is entirely staffed by volunteers and there are a number of different roles that we need people to help with. These are set out below, along with the likely timings. If we get a lot of volunteers we might be able to reduce the length of some shifts. Set up team The whole festival is set up on the morning of the event. There are a range of tasks involved in this, including setting up tables and stalls, assembling marquees, laying out floor mats and generally making the site look presentable. Much of the work will be quite physical so volunteers need to be fairly fit and healthy. Numbers required: 5 Timings: 9am-12pm. Set up volunteers are only required up to the time of the event opening, after which they are welcome to stay and enjoy the festival. 2. Registration desk staff The festival is a free event but we do require that all visitors register. This is so that we have accurate numbers of people in the venue. It also provides us with information that helps us to evaluate the success of the event so that we can secure its funding for the future. There are two registration desks: one at the entrance to the market on Gracechurch Street (known as West Reception) and another on Lime Street Passage (South Reception). During the first 2 hours of the event these can get very busy, particularly the West. Queues can easily develop so it is important that people’s registrations are processed as quickly as possible to allow them into the festival. Staffing the desk requires efficient staff with friendly but firm customer service skills. Numbers required: 16 (8 per desk) Timings: 11.30am-4pm. After the initial rush the desks become quieter so if we get enough volunteers we hope to be able to split this into two shifts. 3. Zone leaders The festival site is divided into five zones. Each of these is managed by a Zone Leader whose role is to deal with any issues that arise from members of the public or participating organisations in their zone, and to ensure the smooth running of that section of the event. Zone Leaders need to be in regular communication with the Event Manager and each other by radio. The issues that could arise at an event like this are highly unpredictable so Zone Leaders need to have good people skills and lots of initiative. There will be two CoL staff members acting as relief Zone Leaders to cover breaks and provide general support. Numbers required: 5 Timings: 11.30am-4pm 4. De-rig and clear up Once the event is over at 4pm the site needs to be cleared. Tables and equipment need to be dismantled and packed away. Normally this process is much quicker than set-up so volunteers will probably only be needed for about an hour.
