Conversation started today Puspa Sharma 12:20am Puspa Sharma MINUTES OF MEETING A short notice meeting was called under the Chairmanship of Mr. Genzey Bhutia on 27.09.2013 at 2 P.M in his Chamber, The Ex-Sasonions in considerable number attended the meeting. The few who could not make it had however mentioned that they would agree to the proposal of the house. At the onset of the meeting Mr. G. Bhutia, as Chairman gave a brief on their recent get together at Kathmandu. He mentioned the warm welcome and hospitality provided by the Nepal Chapter. He mentioned the next such unification has been committed to be held in Sikkim. He then threw to the house that we have to start working right from today and everyone should participate to make it a memorable event in 2014. I. Unanimously the committee for 1st International Meet of Ex-Sasonions, Sikkim was formed. 1. Advisor - 1) Mr. Gengzey Bhutia. 2) Mr. Karma P. Takapa. 2. Chairman - Mr. C.P. Tongden. 3. Co-ordinators - 1) Mr. Sonam Dadul Bhutia. 2) Mr. Topchhen Takapa. 3) Mr. Naveen K. Chhetri. 4) Mr. Sonam Venchungpa. 5) Mr. Chewang P. Saring. 4. Treasurer - Mr. Chewang P. Saring. 5. Liaison Officer - Mr. Karma Choppel 6. Souvenir-In-Charge- Mr. Deependra Dahal, General Secretary. 7. Football/Sports - Mr. Chewang Penjo Saring 8. Magazine-In-Charge - Mr. Sonam Venchungpa 9. Transportation/Accommodation – Mr. Karma Takapa Assisted by 1) Mr. Tenzing Shenga. 2) Tenzing Lachenpa. 10. Venue Co-ordinator - 1) Mr. Naveen Chettri. 2) Mr. Karma Jigme. 3)Mr. Sonam Pintso (Forest). 11. Memento-In-Charge - Mr. Karma Loda. THE DATE FIXED ARE 12.02.2014 - Arrival of all Delegates. 13.02.2014 - Sight Seeing Followed by Welcome Dinner. 14.02.2014 - Football/Games and Leisure time. 15.02.2014 - All day programme in Epica Garden, Saramsa. 16.02.2013 - Departure. The following matters were discussed and finalized 1. All the exsasonions of junior batches will have to be registered Action: President and General Secretary, Sikkim Chapter. 2. All will start contacting their batch mates and inform of this International Meet and motivate them for their participation. As Mr. Genzey Bhutia, Advisor, directed to make it a most memorable event for all participants. 3. The preferred venue for the formal function on was Epical Garden, Sarmsa. The said venue has been confirmed and its sight-inspection to be conducted before the next meeting. An amount of Rs. 40,000/- for the whole day is the charge. Rs. 35,000/- is for the premises, including its Hall, which has a capacity of hosting 600 persons, Kitchen, Dining and out door activities. 4. To meet up the preliminary expenses, it was mentioned that there is a fund to the tune of Rs. 2.10 Lakhs. However, the fund generating moves to be started amongst all members. 5. It was decided to invite the Aluminis’ executive bodies of various brother schools of Sikkim, Darjeeling, Kurseong and Kalimpong. 6. It was informed that since St. Augustines’ School, was awarded the best boarding school of West Bengal, on the day of formal function i.e. on 15.02.2014, Principal and all Teachers to be invited. 7. The proposal of seniors to even included in the Meet, the them of Buyers and Sellers meet of Ex-Sasonions and suggestions to come forward on the next meeting. 8. The issue of the “inner-line permit” the State Government’s standing rules will be adhered. By end of January, 2014, the list of delegates from Nepal, Bhutan or any abroad delegates will have to be submitted to Home Department. It should include their Name, Permanent Address and their place of stay in Gangtok. Their activities and venue has to be mentioned. Its over all responsibility will be the Sikkim Chapter. 9. It was suggested by Mr. Karma Lachungpa that for sight-seeing, the delegates could be taken altogether to Tsangu and thereafter to Mey-meha-chu Lake followed by Lunch in the Lake premises. Mr. Sonam Pintso, Range Officer to be over-all incharge of this venue and necessary arrangement. 10. One of the Souvenirs was to come up with T-Shirt, Jumpper, Cap etc. Its incharge Mr. Deependra Dahal, , General Secretary to come up with all details on next meeting. Similar for the memento, Mr. Karma Loda, too is to come up with samples/proposals in the next meeting. 11. The above listed incharge/co-ordinators are also to come up with their respective proposals in the next meeting. 12. All the Ex-Sasonions have to involve their families also in this meet. Thereafter, the co-ordinators, called on Mr. C.P.Tongden, Chairman of this grand event. He was apprised of above details. Then his few valuable suggestions and directions were inter acted. 1) The next meeting was fixed on 10.10.2013 at 4 p.m. and the venue is Janata Bhawan. Its permission is to be applied immediately. 2) He suggested for joy-ride in the Helicopter of the S.T.D.C. The suggestion was appreciated by all and to be finalized on 10.10.2013. 3) He also suggested for good ethenic musical nite followed by songs of all time and that even the delegates to put in their items. 4) He did mention all the expenditure and its arrangements, which he said will be discussed on priority in the meeting 5) He also directed to arrange for a professional photographer, preferably amongst Ex-Sasonions to take “Snap-Shots” of all events of the Meet. Even after a meeting with the Chairman, the discussions went on and few issues that came up, where Mr. Topchhen Takapa, Mr. Sonam Palden and friends were involved.
