EMPLOYMENT OPPORTUNITY – EXECUTIVE ASSISTANT ENOCH CREE NATION KITASKINAW EDUCATION AUTHORITY *CLOSED COMPETITION* POSITION SUMMARY The Kitaskinaw Executive Assistant provides administrative support to the Kitaskinaw School Staff and is responsible for assisting and providing senior level administrative support to the Kitaskinaw Director and Principal. This position internally supports the Kitaskinaw School and externally supports the ECN Kitaskinaw Board of Directors. Under the guidance and authority of the Kitaskinaw Director & Principal, the Executive Assistant is responsible for report and document preparation; meeting planning; scheduling of the Annual Education Conference hosted by Kitaskinaw Education Authority Ltd.; along with filing; and reception duties. The Executive Assistant ensures the Kitaskinaw School Administration Department is functioning efficiently and all office related matters are handled promptly. DUTIES • Duties include, but are not limited to the following: • Assists with maintaining Kitaskinaw School files , including filing of student information within the conventions of the Freedom of Information and Privacy Act (FIOP) and other related legislation • AANDC – (Aboriginal Affairs and Northern Development) Assist with Nominal Roll, proposals and reports, communication with AANDC, attend AANDC meetings, overseeing the software programs of PASI (Provincial Approach Student Information) & SIRS (Student Information Records System). Insert Kitaskinaw Student & Staff’s information in the SPD (School Program Declaration) within the Alberta Education Database. • Assist with the Annual Education Conference hosted by Kitaskinaw Education Authority Ltd. Contact, schedule, and liaison between keynote speakers/guests, vendors, and performers attending the conference at River Cree Resort & Casino • Attend School Board Committee Meetings as required, also ensure that Kitaskinaw School Meetings are scheduled and all the documentation by preparing meeting packages and distribute to attendees’ prior to the scheduled meeting date, as well will assist with the set-up and clean-up of the meeting place before and after meetings • Assist with the responsibility for coordinating the work between the different Kitaskinaw School departments in the organization, and in resolving the daily administrative as also operational situations that may arise • Assisting with the Kitaskinaw Administration Departments administrative details, coordinating the flow of work and ensuring that all deadlines are met • Receiving and directing all incoming communication such as telephones calls, voicemails and messages, and postal mail, email, faxes pertaining the Kitaskinaw Administration Department • Ensures that work area is clean, secure, and well maintained • Receiving and directing all incoming communication such as telephones calls, voicemails and messages, and postal mail, email, faxes pertaining the Kitaskinaw Administration Department • Assist with compiling the monthly Kitaskinaw School Newsletter • Coordinate travel arrangements for Kitaskinaw School Staff for meetings, workshops, conferences and social events • Covers Kitaskinaw Administration Staff when required, assuming her/his duties during absences or assisting when needed • Completes special projects, and training as requested • Performs other assigned duties which are within the area of knowledge and skills required by the job description and assigned by the KEA Director of Education QUALIFICATIONS • Submit a Clear Criminal Record Check/Intervention Record Check with cover letter and resume; upon starting employment on the Nation the successful candidate shall sign ECN Confidentiality Agreement and Code of Ethics • Freedom of Information and Privacy Protection Act (FIOP) Trained/Certification • Minimum 2 years’ experience working in a similar position as an Executive Assistant and/or combined with an Business Administration Certificate • Certified in Standard First Aid Level C with AED • Proficient with Microsoft Office Software Programs, such as Microsoft Word, Excel, Power Point and MS Outlook to compile bus notes to Bus Barns Manager, and compile reports etc. • Have high standards of ethics and confidentiality to handle sensitive information • Must be open and willing for recommended training if necessary for job requirements by attending training programs, workshops, information sessions, and conferences when available • Minimum Class 5 Driver’s Licence and provide own transportation • Must demonstrate professional, healthy lifestyle and a genuine interest in youth and respect their individuality • Excellent written, verbal, and presentation skills; Ability to speak Cree would be an asset. Strong interpersonal skills, and willing to assist others within the Kitaskinaw School Staff • Able to meet multiple deadlines with constantly changing priorities • Superior tact, diplomacy and ability to deal with politically sensitive issues • Ability to work effectively and efficiently both independently and as part of the dedicated ECN Kitaskinaw School Team *Or an equivalent combination of training and experience WORKING CONDITIONS: • The Executive Assistant will be located at Kitaskinaw Education Authority Ltd.
