Paladin is searching for a Mid level Events Coordinator with large scale events or tradeshow experience for an ongoing contract. The right candidate will be a detail oriented go-getter with a get the job attitude and able to work in a fast paced environment. Location: North Suburbs (must have reliable transportation) Start: August 5th, 2013 Ongoing contract 40 hours per week 8 hours days with 1 hour lunch (may be flexible with start time: 9-6, 7-4 or 8-5 is doable) Some Travel (mostly NYC and South Beach) WE OFFER BENEFITS: This job qualifies the contractor to participate in Paladin benefits after working 30 days full time. Paid Holidays: Associates who reach 1000 of work and is continuously working is eligible to receive holiday pay (8 hours) Holidays include: NYE, Memorial Day, 4th of July, Labor Day, Thanksgiving Day and Christmas Day. Job Overview: The candidate will be assisting the PR/Event/Sponsorship team in the creation, dissemination and organization of various events and/or PR materials for use within a variety of experiential marketing events/sponsorships. The candidate will also be involved in maintaining processes to ensure effective and timely routing of materials and management of invoices to key team members. Candidate will also be coordinating and maintaining hard copies as well as the electronic filing system for department. Key Qualifying Skills and Responsibilities: Experiences coordinating large attendance events that involve the following responsibilities are very important. Please review carefully. • Manage track, maintain PO/entry sheet/invoicing process for PR; Events; Marketing • Ensure client meets estimates/SOW and deliverables (45% of job) • Manage premium vendors in obtaining samples materials, providing artwork needs and routing samples for approvals. • Obtain estimates and routes for approvals. • Work with event lead to develop brand collateral materials: o Obtain final copies o Proof creative for accuracy o Obtain estimates from vendors. • Work with PR lead to coordinate materials required for various PR events.. • Coordinate hospitality needs for events and maintains communication with team members on check in/checkout dates, confirmation numbers and special needs. • Coordinate logistical communication needs for employees attending events: o Any and all messaging o Any uniforms staff or attendees will need o Assembly of training manuals. • Order, design, ship and track gift baskets as needed for various events, PR needs and promotions. • Manage product orders through online order system including tracking and delivery verification. • Database entry of PR mentions into global PR reporting system. • Inventory and Storage management of 2 offsite facilities and 1 onsite facility. • Manage, ship and track all shipments for event support. • Provide onsite “runner” support at major events. • Able to fill in for extra support for special projects and day-to-day needs as requested.
