Apply at saic.edu Administrative Assistant-Ceramics, Performance, Photography, Print Media, and Sculpture Duties Directly or through student workers, provides daily reception services and facilitate communication between the Administrative Director and Faculty Chairs among the faculty and their students in the departments of Ceramics, Performance, Photography, Print Media, and Sculpture, and among graduate students via e-mails, mailings, and phone conversations. Refer students daily to appropriate student service offices for assistance and counseling. Provide friendly and informed service to prospective students and the public. Schedule appointments for Faculty Chairs and Faculty Graduate Coordinators. Directly or through student workers, provides daily clerical assistance by scheduling appointments and maintaining office calendars, managing office correspondence, filing and organizing office records, distributing mail, answering phones and photocopying. Assist the Administrative Director to ensure a well-informed student and faculty community by generating and distributing information regarding policies, procedures, curriculum requirements, special study and work opportunities, meetings and events. Provide assistance to the Administrative Director as delegated to: train student workers; compile course and faculty schedules; monitor daily instructional activities; maintain instructional supplies; oversee room use and maintenance; manage student equipment authorization records and key access lists; maintain administrative databases and inventories, process invoices, travel and entertainment reimbursement forms, maintain faculty biographies and course syllabi; develop and maintain a visual archive of student, faculty and alumni work. Provide assistance to the Faculty Chairs as requested, working closely with the Administrative Director to prioritize workflow and establish priorities. As time allows, provide clerical assistance to faculty. Assist the Administrative Director and Faculty Chairs with special projects and to set engagements for any special events, such as department lecture series, student and faculty orientations, etc. Perform other duties as assigned by the Administrative Director and Faculty Chairs. Qualifications 1-2 years of administrative experience is required and work experience in higher educational or cultural organization is highly preferred. Must be able to work independently in handling daily operations is essential. Proficient knowledge of Microsoft Suite experience required and Adobe Suite experience strongly preferred. Should have the ability to handle multiple projects, prioritize and demonstrate excellent organizational skills.
