JOBS in GOLDEN LAND Program Officer (Operations Support) Title: Program Officer (Operations Support) No of opening: One only Department: Institutional Strengthening Team (Shae Thot) Supervisor: Program Manager for Institutional Strengthening Location: Yangon, Myanmar, with travel to field offices as needed Duty Station: Yangon Office Pact values and supports a diverse work environment. Position Summary: The Program Officer is responsible for day to day operations, administrative, financial and other program support services to Shae Thot Program, specifically the Program Manager for Community Strengthening and the extended Community Strengthening team. S/he is responsible for assisting the community strengthening team in administrative, financial, reporting, procurement, logistic-related coordination and communication with other program team members and Pact’s shared support services. Please note that this position is only suitable for candidates who have experience in providing excellent operational support and are able to work in a demanding environment under minimum supervision. Processes Tracking & Reporting Assist in monitoring project deliverables and keeping team on track with operational tasks Assist the Program Manager in developing reports, develop graphics, visuals and other materials that can be useful for internal and external reports- using statistics from Shae Thot database Timely assist the in retrieving and organizing data and other information required for developing reports Expected Results: o Project delivery status is regularly updated and reported, and team is kept aware of upcoming deadlines o Program Manager receives effective support in developing reports for internal and external audiences. Coordinated Operational Support Coordinate with Admin Department for administrative, logistical and procurement support required by Community Strengthening Team Coordinate with Human Resource Department in implementing Senior Program Manager decisions related to HR according to Personnel policies and procedures. Coordinate with relevant internal stakeholders to ensure visas and travel authorizations for expat personnel, non-operation team members and visitors of Shae Thot are secured in a timely manner Coordinate with Finance Unit for travel reimbursements, procurement, and other related issues Coordinate with field offices and operational teams for field activities, planning, execution and follow up Expected Results: o Effective assistance to the Program Manager for smooth program oversight through coordination with shared support services Others Undertake other duties as assigned by Program Manager Minimum Requirements: University degree with at least three-year experience in international organizations or institutions, or similar field, either in the program or operations field. Experience in providing secretarial support to executives preferred. MUST have excellent English proficiency in all four skills. MUST be computer literate- with high proficiency in MS Word, Excel, and other DTP services. MUST have excellent communication and coordination skills. MUST be to work under a very demanding condition. Excellent time-keeper, with high sensitivity to deadlines and short notices. Effective Team player, proactive, and demonstrated capacity to work independently, often times with minimum supervision.
