Personal Assistant : 000056W0 Description The Personal Assistant role is based within the Human Resources function, supporting two Heads of HR. The role of the Personal Assistant is to provide full administrative and secretarial support to two senior level managers within the regional HR function, by assisting in the administration of a high volume of paperwork, managing an ever changing diary and ensuring that deadlines are met. Your responsibilities will include: Provide full administrative and secretarial support to Manager Reply to and formulate correspondence on behalf of Manager Use of Lotus Notes/Microsoft Office packages/SharePoint to produce and type documents Routine letters prepared without managers approval, more complex correspondence prepared for approval by manager Diary management – meetings organised and diary invites managed Meeting papers, agenda items and MI collated for meetings All action items monitored as appropriate, advising manager of progress Maintain department inventories and records Management and control of projects on behalf of Manager Regular liaison with Managers direct reports to ensure that projects are on track and that deadlines are met Co-ordinate travel and accommodation requirements Organise and plan conferences/off-site events including preparation and collation of presentation material Maintains HSBC internal control standards Qualifications The ideal candidate for this role will have: Experience working in relevant environment/s, i.e. Working within an international organisation, where multiple cross border meetings and travel are often arranged Past working experience in a relevant role, i.e. Previous Director level EA/PA experience essential Experience of using relevant software packages, i.e. Fully competent with Microsoft Office, Lotus Notes (desirable), SharePoint Relevant product knowledge including broad knowledge of HSBC’s Group capabilities is desirable but not essential A track record of gaining an understanding of customers needs and delivering excellent customer service A flexible and adaptable approach to change and will support others to respond in a similar way Both spoken and written communication skills with experience of adapting your style and approach to the audience and message to be delivered Contributed productively to team objectives, sometimes supporting and sometimes leading activities to achieve shared goals Planned projects and activities systematically in line with business priorities, using a variety of analysis and problem solving techniques Supported project teams/managers, showing an understanding of the basic principles of project management The base location for this role is 8 Canada Square, London.
