وظيفة Logistics/Fleet Coordinator - شركة CTG Global العالمية - غزة Position: Logistics/Fleet Coordinator - Place of Performance: Gaza- Contract Duration: One year with possibility of extension- Starting Date: TBC OVERVIEW OF CTG GLOBAL: CTG Global is a managed service company specializing in Recruitment, Management Consultancy, Human Resources support services and Monitoring & Evaluation in post disaster and post conflict countries around the world. OVERVIEW OF THE POSITION GENERAL FUNCTIONS: Purpose and Scope of Assignment: The Logistics/Fleet Coordinator will be fully accountable and responsible for the following: Supply of goods: -Liaise with customs clearance brokers, as required -Liaise with freight forwarders, as required -Expedite delivery of the goods with the supplier -Undertake receipt and inspection of the goods -Liaise with the supplier to resolve any quality or delivery issues; Inventory and Asset Management: -Review inventory/asset database and make amendments to its design and contents -Perform audit of existing inventory and assets and update as required -Ensure that database information is correct and up to date at all times -Produce inventory and asset reports as required -Assess current and future warehousing requirements and develop storage solutions -Ensure that a handover procedure of inventory and assets is in place and carefully adhered to at all times -Record all handovers with appropriate signatory approvals -Advise if and when write-offs of assets are required -Prepare and submit required documentation for write-off process and obtain required approvals -Check all supplies delivered and ensure that the supplies are appropriate and in accordance to the specification required, as indicated in the order form. Fleet Management: -Develop and implement vehicle management and maintenance systems and Standard Operating Procedures (SOPs) -Organize, manage and supervise the use of all vehicles and report any noncompliance -Organize all documentation regarding usage of vehicles, including a vehicle allocation policy -Ensure provision of vehicles and/or driver(s) for the transport of authorized project and management personnel -Coordinate schedules and ensure drivers support is provided, as required. -Ensure that all vehicles are licensed and insured as per the requirements of the host government. -Research and develop a vehicle fleet policy in order to standardize the fleet -Develop and implement a repair and maintenance system for all vehicles. -Ensure that all drivers receive continuation training and development and retain current licenses. -Develop and maintain “driving records” for personnel -Conduct accident damage assessments, process vehicle accident reports and participate in Board of Inquiry and raise Damage Discrepancy Report as required. -Track pertinent information for each individual official vehicle, such as, insurance expiration date, motor number, license expiration date, chassis number, etc. -Ensure that daily checks are performed on all vehicles. -Ensures proper day-to-day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes, car washing, etc. -All other duties as required ESSENTIAL EXPERIENCE: Education: -Masters or advanced degree in Business Administration, Economics or other relevant discipline -A first level university degree with 2 additional years of relevant combination of academic qualifications and experience may be accepted in lieu of an advanced university degree -United Nations training in procurement, logistics, INCOTERMS and/or asset management is an advantage Work Experience: -Minimum 4 years of progressively responsible professional experience in high volume supply chain/logistics operations, including experience in private industry and/or government/international organizations; -Experience in working directly with strategic and executive levels of management is required -Experience in dealing with customers and clients and providing a high degree of customer support, education, and service. -A logistically oriented theoretical background (logistics, procurement, fleet management, warehousing, security, etc.) is desired -Proven capacity to train others in fleet and stock management Key Competencies: -Hands-on performer—willing and capable of building a successful team -Personal interest, commitment, efficiency, flexibility and willingness to work in a highly motivated team of professionals. -Attention to Detail -Integrity -Judgment and Decision Making -High proficiency with computers in particular MS Word, MS Excel, MS Outlook, and the Internet -High organizational skills -Able to work efficiently with minimal direction. -A strong work ethic, prepared to work additional hours to ensure timely delivery. -Clean driving license, with ability to drive Gaza. -Ability to adapt to difficult working environment, under pressure and with limited timeframes. -Professionalism - Strong theoretical background and substantive experience in all phases of international supply chain operations; good working knowledge of INCOTERMS and expertise in handling complex supply chain issues and in the context of UN policies and standards; strong analytical skills and working knowledge of quantitative methods; good knowledge of sources of supply, customs clearance process, market trends, delivery constraints, etc.; sound judgment in applying technical expertise to resolve a range of issues/problems; ability to provide technical guidance to new/junior staff. -Planning and Organizing - Ability to plan work assignments, juggle competing demands and work under pressure of frequent and tight deadlines, and with minimal direction/supervision. -Communications - Excellent communication (spoken and written) skills, with the capability of articulating the office’s strategic goals into sound operating logistics and asset management plans and processes, and the charisma necessary to effectively focus and motivate employees. -Technology Awareness - High proficiency with computers in particular MS Word, MS Excel, MS Outlook, and the Internet. Proficient knowledge and command of ERP systems used in procurement, logistics and asset management. Advance knowledge of working with internet based applications and languages. -Teamwork - Experience supporting teams in a complex multi-national, multi-cultural environment is required. Languages: -Fluency in English and Arabic is essential. -Hebrew knowledge, highly desirable.
