Purpose of the job Under the general supervision of the Administrative Specialist, serves as principal assistant for carrying out broad administrative support functions that relate to local and international travel. Key result areas Receives and reviews all international travel requests from staff members to ensure appropriate authorization, confirms entitlements for duty travel, home leave, education grant, medical evacuation, repatriation etc. Forwards travel requests with supporting documents to the Administrative Specialist for approval; Processes all local travel. Analyzes, monitors and maintains oversight of local travel by providing travel advice and assists staff members processing travel authorizations, travel advances and payments and other associated documents, in accordance with the requirements of the United Nations; Obtains quotations from approved travel agents, airlines for international travels, prepares analysis of the most economical and direct route for approval by the Chief of Operations; Supervises indirectly, activities concerned with the travel services contractor. This ensures consistency in rates and fares utilized by the office, and constant monitoring and quality control of service received in comparison with other industry competitors; May be indirectly involved in contract renewal or bidding TORs compilation at year-end; Briefs staff on travel and general administrative matters. Actively participate in discussions on new or revised procedures, workflows or practices, interprets and assesses the impact of changes, and makes recommendations to the Administrative Specialist for follow-up action; Prepares correspondence, note verbales, special reports, Country Management Team reports, evaluations and justifications, as required, or specialized tasks that may be of a confidential nature, especially when it pertains to staff entitlements; Receives all travel claims from staff members and reviews for conformity with approved TAs. Calculates reimbursements due to staff members and receivables due to UNICEF. Qualifications and competencies A diploma in Administration, Management or Travel Management; Training within the travel industry is a distinct advantage; Knowledge of office and diplomatic protocol arrangements is desirable; At least 6 years of progressively responsible work experience in general administration and travel. Experience within the travel industry is a distinct advantage; Advanced computer skills, associated electronic office equipment and operating data management systems is essential; Good analytical skills and flair for numbers; Good communication and organizational skills; Ability to work in a multicultural environment.
