Administrative Assistant: Category : Administrative/Clerical Location/City : NJ - Mahwah Id : 3028085 Job Type : Contract/Temp SummaryUnder the supervision of the president this position provides administrative and secretarial support for the operating group president and divisional leadership. In addition to typing, filing and scheduling, performs duties such as record keeping, creation of travel itineraries and expense reports, coordination of meetings and conferences, obtaining supplies, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.Essential FunctionsReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.1. Schedules and organizes activities such as meetings, travel, conferences and department activities for the Group President, and leadership staff of the division.2. Performs desktop publishing. Creates and develops visual presentations.3. Establishes, develops, maintains and updates filing systems.4. Retrieves information from files when needed.5. Organizes and prioritizes information and calls.6. Sorts and distributes mail. Coordinates the retrieval of mail for the president. Drafts written responses or replies by phone or e-mail when necessary. Responds to requests for information7. Answers phones for Group president. Takes messages or fields/answers all routine and non-routine questions.8. Handles confidential and non-routine information and explains policies when necessary.9. Works independently and within a team on special nonrecurring and ongoing projects. Maintains and organizes files for special projects, at the request of the Group President, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings.10. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.Position Type and Expected Hours of WorkThis is a part-time position. Ideal days and hours of work are Monday through Thursday, 8:30 a.m. to 3 p.m.TravelNo travel is expected for this position.Required Education and Experience1. High school diploma2. 3-5 years of administrative experience.Preferred Education and Experience1. Associates degree.2.
