Administrative Assistant Governors State University - University Park, IL This part-time position (approximately 20 hours per week) performs various functions as determined by hiring manager/director. 40% -- Process, organize and maintain Clinicals Psychology & Psychiatry Program, correspondence, files and other records. Process and submit bills for review and payment; enter maintain and update billing and other logs; assist in budgets preparation, time sheet submission and tracking; and enter other data as needed. 35% -- Under the direction of the Program Director, functions as a confidential, high-level assistant to provide administrative support to the Clinical Divisions Psychology & Psychiatry Program, including, but not limited to: coordinating meetings, resolving general administrative issues and drafting correspondence. 10% -- Respond to inquiries for assistance, refer inquiries to appropriate staff for response, relay and follow up on messages and otherwise provide program support to the program. 10% -- Coordinate and track assignments as directed by Program Director; perform administrative functions which support the overall effective functioning of the program. Researches, gathers detailed information, analyzes information and proposes solutions to the Program Director. The minimum monthly salary is $2,904.00. The work schedule is Monday to Friday, 9 a.m. to 1 p.m. Minimum Qualifications 1. Must be a resident of the state of Illinois 2. Must be a High school graduate or equivalent 3. Five (5) years (60 months) of progressively more responsible professional, managerial and supervisory experience that included experience in areas such as supervising staff or job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles OR 60 semester hours or an Associates degree in business, finance, accounting or a related field* AND four (4) years (48 months) of progressively more responsible professional, managerial and supervisory experience that included experience in areas such as supervising staff or job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles OR 90 semester hours in business, finance, accounting or a related field* AND three (3) years (36 months) of progressively more responsible professional, managerial and supervisory experience that included experience in areas such as supervising staff or job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles OR 120 semester hours or a Bachelors degree in business, finance, accounting or a related field* AND two (2) years (24 months) of progressively more responsible professional, managerial and supervisory experience that included experience in areas such as supervising staff or job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles OR Masters degree or higher in business, finance, accounting or a related field* AND one (1) year (12 months) of progressively more responsible professional, managerial and supervisory experience that included experience in areas such as supervising staff or job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles For verification purposes, please scan and attach all relevant transcripts that specify college credits and /or degrees earned in consideration of meeting the minimum qualifications of this Civil Service position. Preferred Qualifications 1. Excellent organizational skills and superior technical skills are required. Must be able to create, implement and monitor complex tracking systems for databases. 2. Must have ability to prepare budget and monitor utilization. 3. Advanced computer literacy, including Internet Explorer, Word, Excel, PowerPoint and excellent oral and written communication skills are mandatory. 4.
