Administrative Assistant – Field World Health Organization Location: Ajmer / Kota, Rajasthan Submit Submit Posted on Apply by: 30 Aug 2013 Relevant Sectors Administration, HR, Management, Accounting/Finance TITLE: ADMINISTRATIVE ASSISTANT DURATION: Special Services Agreement up to the 31st of December 2013 (To be renewed based on the need of the project & also on the performance of the individual) LOCATIONS: Ajmer / Kota TERMS OF REFERENCE The first level supervisor will be the Surveillance Medical Officer (SMO) while the second level supervisor will be the Regional Administration & Finance Focal Person. The overall responsibility of the Administrative Assistant shall include the following: Administrative Function: 1. Provide administrative assistance to the SMO in the management of the program; 2. Maintain accounts, cash book, bank reconciliation and assist in preparing reports as per the administrative and financial guidelines of NPSP; 3. Coordinate incoming correspondence, information and data, travel and general logistics arrangements; 4. Maintain inventory of unit equipments and assets. Technical Responsibilities: 5. Coordinate and provide technical inputs to SMO during NIDs and Mop Up activities; 6. Develop & maintain database of reporting network district wise; 7. Maintain records for AFP cases sent for expert review, obtaining hospitalization and other clinical records; 8. Assist SMO in preparing documentation for obtaining and fixing up appointments for NCV / EMG; 9. Collect and report all case details in Case Investigation Form (CIF); Preparation of Reports: 10. Enter various data and information received and prepare desired reports; 11. Track timeliness of RUs, adequate stool collection rate etc; The person would also be carrying out other tasks/activities as and when required by his/her supervisor or NPSP. Education Qualification/Experience: 1. A Graduate preferably with a Commerce degree and / or a diploma in computer application is desirable; 2. Experience of working in any NGO or health sector will be preferred. Skills: The individual should possess: 1. A pleasant personality, 2. Excellent Communication skills English & Hindi (both written and spoken); 3. Ability to work in different environments, 4. Good working knowledge of MS Office, 5. Ability to multi task, 6. Good inter-personal skills, 7. Ability to work long hours and under strict timeliness. Please note that this is a job with a Special Services Agreement (SSA) with the World Health Organization and gross emoluments will be Rs 3.72 lakhs per annum and taxable as per Indian laws.
