COOL Program Manager for MIFA Position summary The COOL program manager is responsible for overseeing and directing the functions of the program including supervision of staff, participant entry into the program, database management, follow-up, and program evaluation. The program manager demonstrates MIFA’s mission and values, engages in agency events, and is able to articulate the purpose of MIFA programs. Qualifications 1. Bachelor’s degree in social services or related field 2. Two years of management experience 3. Two years’ experience guiding youth through the college application and financial aid process 4. Two years’ experience working with teens in mentoring or coaching capacity preferred 5. Two years of grant funding or nonprofit job related experience preferred 6. Experience coordinating and executing multiple tasks and projects 7. Ability to be a change agent; think creatively, utilizing best practices and collaborations 8. Ability to welcome and respect people of diverse ages, races, household compositions, and persons in crisis 9. Demonstrates positive leadership and professional skills 10. Possesses good people skills and verbal communication skills 11. Ability to complete duties on schedule with little or no supervision 12. Proficient at operating communication systems (computers, email, laptops, telephone, faxes, scanners, and presentation equipment.), Microsoft Word and Excel, and various database systems 13. Ability to handle client and donor information confidentially and discreetly 14. Experience using computerized accounting and budgetary systems, including spreadsheets Major responsibilities and related tasks 1. Creatively oversee and direct the evaluation and restructuring of the COOL program by utilizing best practices and exploring collaborations 2. Assess and reimagine, if necessary, program scope and structure 3. Hire and train new staff assessing prudent staffing needs 4. Work with consults and key MIFA staff to access program model and efficiencies 2. Oversee and provide direct services to 11th and 12th grade participants including college and financial assistance applications and one-on-one college and career counseling. 3. Conduct and oversee regular monthly one-on-one sessions with COOL 11th and/or 12thgrade participants to discuss program successes, challenges, and obstacles 4. Conduct and oversee weekly life skills for COOL participants and assist with the other weekly life skills sessions 3. Oversee and direct the daily operation of the program, including participant selection and entry into the program, case management plans, database management of participant records, and follow-up records and reports. 4. Provide daily leadership and supervision to COOL program staff to ensure the highest quality of services to the youth in the program 5. Authorize expenditures and oversee appropriate use of finances by conducting a monthly review of financial statements 6. Provide support to participants in developing academic goals with progress towards higher education attainment 7. Conduct monthly database audits to monitor the accuracy of participant records 8. Conduct bi-annual follow-up and tracking audits of former COOL participants to determine higher education retention and college attainment by using the National Student Clearinghouse web-based system 4. Ensure grant compliance and provide required reports to grantors and other funders. 5. Provide monthly, quarterly, and annual reports to the Irvin Lansky Foundation; Children’s Foundation; MGM Resorts; Fred’s, Inc., Grizzlies Mentoring Alliance, etc., to report number of students served, enrolled in college, graduated or completed higher education goals, applied to college and for financial aid or scholarships, college attainment and enrollment, number of mentors and contacts, life skills attendance, ACT preparation and testing, college tours, and other events. 6. Review monthly financial statement of operations for each grant fund center to ensure all budgets/expenditures are on track and reconcile any variations with MIFA accounting staff 7. Provide internal stakeholders, such as grant writer and director of program performance, with accurate and timely information and data 5. Supervise higher education coordinators to ensure performance in accordance with MIFA’s guiding principles and the guidelines established by other funding agencies. 6. Continually assess higher education coordinators’ process to reflect best service practices to ensure significant change in participants 7. Identify staff training needs and provide monthly training to develop key areas of job performance 8. Promote staff development by providing continuous coaching and feedback 9. Conduct weekly staff meetings to determine program needs Other responsibilities • Assist and lead college tour planning • Attend community-based organization meetings as a representative of COOL • Attend and participate in MIFA meetings as needed • Work with the COOL advisory council to develop and implement ideas for program enhancement • Work closely with the MIFA development team to ensure funder compliance through active and engaged relationships and communication • Other duties as assigned Supervisory responsibilities Responsible for hiring, orienting, and supervising higher education coordinators Physical demands and work environment The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
