Customer Service Specialist II - Finance... City of Hampton, VA - Hampton, VA Performs a variety of responsible customer service and clerical duties for the Department of Finance. Provides initial customer service for city employees and citizens. Examples of Duties: Receives telephone calls and greets customers, ascertains nature of business, answers general information questions or refers individual to the appropriate staff member. Ensures that each person is addressed professionally, personally, and with respect; creates an environment that ensures a positive experience for our customers. Answers routine questions and provides basic information regarding the services provided by the Finance Department. Provides direct assistance whenever possible. Collects over the counter payments from customers and US Mail. Prepares daily cash receipts reports. Assists with a variety of clerical procedures such as data entry, maintaining office supplies; sorting, indexing, and filing materials alphabetically and numerically; secures information from files as needed; emailing, scanning, faxing and photocopying appropriate documents; works with various staff members to ensure that work is completed expeditiously and within time deadlines; sorts and distributes departmental mail. Uses a personal computer to utilize Microsoft Office software to include Word, Excel and Outlook to create a variety of correspondence, requisitions, reports. Actively participates in departmental activities such as planning, problem solving and goal setting. Participates in cross training as required through on-the-job training, formal training courses, and professional conferences. Maintains up-to-date knowledge of appropriate policy, procedures, and practices. Performs other related duties as required. Typical Qualifications: Graduation from high school or successful completion of the GED; some experience in direct customer service or receptionist work. Some clerical experience preferably in a local government environment. Requires ability to pass a standard typing test with a net speed of 30 wpm and proficiency in the use of the personal computer and software programs to include word processing, database management and spreadsheets. Some knowledge of community organizations, procedures and policies preferred; thorough knowledge of office terminology, procedures, and equipment. Must be able to communicate effectively and manage multiple tasks concurrently; ability to foster effective working relationships with diverse populations and maintain good relationships with internal and external customers.
