Department Administrator (6months contract) Location : Tuas *Transport islandwide Working hours : 7.30am - 4.48pm (Monday - Friday) Salary : S$ 2500/month Job Responsibilities: • Performs clerical and administrative duties including typing, proofreading and editing documents, correspondence and reports for assigned department. • Composes and initiates correspondence and memoranda. • Enters data from various sources into spreadsheets, verifies input and calculations. • Assists department staff in developing and preparing complex reports and presentation material. • Maintains efficient paper and electronic filing system and ensures quick retrieval of requested documents. • Suggests process and procedure improvements to increase efficiency and improve communication of departmental and functional information. • Screens telephone calls and visitors. • Takes accurate phone and verbal messages and ensures that messages are delivered in a timely manner. Independently resolves most inquiries. • May handle confidential or sensitive information or issues. • May schedule and maintain calendar of appointments, meetings and travel itineraries for department staff and may coordinate related arrangements. Ensures accurate and timely communication to involved parties. • May plan, coordinate and make arrangements for on-site and offsite Conferences, meetings and special events. • Ensures accurate and timely communication to involved parties. • May assist with departmental human resource functions, which may include preparation of confidential personnel information and new hire orientation. Job Requirements: • Minimum Diploma in any discipline or GCE A levels with at least 2 pass. • 5 years work experience within office administration. • High school diploma or GED plus additional specialized courses, Bachelor’s degree preferred. • Experience in coordinating people and events. • Above average interpersonal skills for inter-departmental, customer interaction, and executive...
